Employee document verification with approve and reject

Collecting a document is not the same as checking it. In ZeniaHR every upload starts as pending, and HR marks it verified or rejected after looking at it. A rejection can carry a reason the employee will understand, such as a blurred scan or a name that does not match. Every decision is stamped with the verifier's name and the date. Each document also carries its number, issue date and expiry date, so passports and driving licences can be checked for renewal.

How it works

  1. HR uploads a document against an employee with its type, document number, issue date, expiry date and remarks.
  2. The upload waits as pending, and the Document Verification list shows each employee with uploads awaiting review, with uploaded, missing and pending counts.
  3. HR opens the employee's documents, previews each file and marks it Verified or Rejected, adding a reason when rejecting.
  4. For a quick pass, HR or the Company Head can verify all of one employee's pending documents at once, or reject them all with one reason.
  5. ZeniaHR records who verified each document and when.
  6. The employee's overall status becomes Verified, Partially verified, Pending or Action required.

Why verification is its own step

Most document problems surface weeks later. The name on the bank passbook does not match the PAN, so the salary credit bounces or the PF KYC is rejected. A driving licence expired in March, and nobody noticed until a delivery van was stopped at a checkpoint. Verifying each document in the first week, and recording its number and expiry date, moves these problems to joining week, when the employee is still around and keen to fix them.

Worked example: a site engineer's documents in Lucknow

Sunil Verma joins a construction firm in Lucknow as a site engineer and hands over the eight documents on the company checklist, plus his driving licence because he drives to sites. HR uploads them all, entering the licence number and its expiry date of 14 March 2031. Reviewing them the next morning, HR verifies everything except the bank passbook, which reads S. Verma while his PAN says Sunil Kumar Verma. HR rejects it with the reason: name does not match PAN, please give a cancelled cheque with your full name. His status shows Action required. Two days later HR uploads and verifies the cheque, and Sunil's status turns Verified.

Tips for faster, fairer verification

Consistent checks keep the queue short and avoid disputes with employees who feel singled out. Agree what HR looks for in each document type, and apply the same checks to a new trainee and a senior manager alike, so every rejection can be explained the same way.

How do I verify employee documents in ZeniaHR?

Open Employee Documents, pick an employee from the Document Verification list and preview each pending file. Mark it Verified if it is correct, or Rejected with a reason if it is not. ZeniaHR records who verified it and when, and the employee's overall status updates straight away.

Can I reject a document and tell the employee why?

Yes. When you reject a document, ZeniaHR asks for a reason and saves it in the document's remarks. Write it as an instruction, such as scan is blurred, please upload a clear colour copy, so the employee knows exactly what to do next and the second upload is right.

Does ZeniaHR remind me when an employee document expires?

It records the issue and expiry date of each document, and the document reports list them: the uploaded documents register and the passport and driving licence reports all show expiry dates. There is no automatic expiry reminder, so export the report each month and follow up on anything expiring soon.

Who can verify employee documents?

HR and the Company Head verify and reject documents, including the quick verify-all and reject-all actions on the queue. Finance users work with documents as their role allows. Employees cannot verify their own documents; they only see the status of what they have given.
