Payslips for every employee

When a Direct Payroll run is finalized, every employee line gets a payslip PDF drawn from the sealed numbers. It carries the company's name and logo, the employee's code, designation, PAN, UAN and masked bank account, the payable, working and LOP days, each earning and deduction by name, net pay in figures and in words, and the employer's PF and ESI as a separate note. Employees download it themselves from My Self-Service or the mobile app.

How it works

  1. Finalize the payroll run. Payslips exist only for finalized runs, so nobody downloads a draft figure.
  2. HR downloads any employee's slip from the run detail, using the PDF link on each line.
  3. Employees open payslips in My Self-Service or the mobile app and download the month they need.
  4. Each slip lists earnings from the salary structure first, then the month's earning inputs such as incentive, arrears or leave encashment.
  5. Deductions list Provident Fund, ESI and Professional Tax, then deduction inputs such as advance recovery, with totals and net pay.
  6. A closing note shows the employer contributions not deducted from the employee: PF split into EPS and EPF, and ESI.

What employees and lenders look for

A payslip is not only for the employee's own records. A bank may ask for three months of slips for a loan, a landlord for one and a visa office for six. They look for the company name, the employee's details, gross, deductions and net pay. The employee looks for something else: why this month's pay is lower. Printing payable, working and LOP days on the slip answers that before it becomes a query. The glossary entry on the salary slip explains each part for new staff.

Worked example: reading Neha's October slip

Neha, an accounts assistant in Ahmedabad, downloads her October 2026 payslip from the app on 6 November. The days block shows 31 payable days, 31 working days and 0 LOP days. Gross earnings are ₹18,000. Deductions are Provident Fund ₹1,440, ESI ₹135 and Professional Tax ₹200, a total of ₹1,775, leaving net pay of ₹16,225, also written in words.

The closing note shows what her employer paid on top: PF of ₹1,440, split into EPS of ₹1,000 and EPF of ₹440, and ESI of ₹585. Her bank account number appears masked, so the slip is safe to share with her landlord.

Getting clean payslips from the first month

Blank fields on a slip usually mean blank fields on the employee record. Before the first run, check PAN, UAN, ESI number, bank name and IFSC for everyone, and upload the company logo. Finalize early in the month so slips are ready before salaries land. Point employees to self-service for downloads; it removes the monthly queue of slip requests at the HR desk.

Frequently asked questions

Can employees download their own payslips?

Yes. After a run is finalized, each employee can download that month's payslip PDF from My Self-Service on the web or from the ZeniaHR mobile app. They see only their own slips. HR can download anyone's slip from the payroll run.

When is a payslip available?

As soon as the payroll run is finalized. Draft runs have no payslips, because their numbers can still change on recompute. Once finalized, the slip is drawn from the sealed line, so the figures on it never change later.

Does the payslip show TDS?

No. Direct Payroll does not compute TDS, and the payslip carries a note saying TDS was not computed by the payroll run. It shows PF, ESI and professional tax. Income tax on salary is handled with your tax adviser outside Direct Payroll.

Is the full bank account number printed on the payslip?

No. The account number is masked, while the bank name and IFSC are shown. This keeps the slip safe to share with a landlord or lender, who usually needs only to see that salary is paid into a bank account.
