What is a Leave Ledger? Meaning and Example

A leave ledger is the running record of every change to an employee's leave balance, entry by entry: opening balance, accruals, leave taken, credits, adjustments, encashments and lapses. Like a bank passbook for leave, it shows not just the balance but exactly how it was reached.

What a leave ledger contains

Each entry carries a date, the leave type, the number of days, the running balance and who or what created it. That is what lets HR answer the question every employee eventually asks: why is my balance lower than I thought it would be?

Why a ledger beats a single balance figure

A spreadsheet with one number per person is easy to break: someone types over a cell and the history is gone. A ledger never overwrites. A mistake is fixed with a new adjustment entry, so auditors and employees can see both the error and the correction. The ledger is also what the final settlement relies on when leave encashment is worked out at exit, so its accuracy has a direct money impact.

What a software leave ledger should do

In HR software, every leave event should write to the ledger automatically, and HR corrections should appear as entries of their own rather than edits. On 31 July his running balance was 14.5 days.

What is the purpose of a leave ledger?

Is a leave register the same as a leave ledger?

Many companies produce their leave register from the ledger, so check the format required by the rules that apply to your establishment.
