What is Leave Without Pay (LWP)? Meaning and Example

Leave without pay (LWP) is approved leave for which the employee receives no salary. It is used when paid leave has run out, or when a longer absence, such as caring for a family member, goes beyond the paid leave allowed. The absence is authorized, but the days are unpaid.

How LWP works in Indian companies

The employee applies for LWP like any other leave, and the manager and HR approve it. Many policies allow LWP only after casual, sick and earned leave are used up, and they cap how many LWP days can be taken in a year without a senior manager's approval. In payroll, each LWP day becomes a loss-of-pay day. Long LWP spells can also touch other things, depending on the policy: leave accrual for those months, the timing of the next increment, and how the period counts for service-linked benefits.

LWP, loss of pay and absence

LWP is the leave itself; loss of pay is what it does to the salary. An unexplained absence also produces loss of pay, but it is not LWP because nobody approved it, and repeated unexplained absence can lead to disciplinary action under the standing orders or company rules. Converting an absence into approved LWP after the event is common when the reason is genuine, such as a hospital admission the employee could not report in time.

Setting LWP rules

Example: Deepa Iyer, a lab technician at a diagnostic chain in Coimbatore, had used all her paid leave by August 2026 when her father needed surgery. She applied for LWP from Monday 7 to Wednesday 16 September 2026, and her manager and HR approved it. Her company pays on a working-days basis with a Monday to Friday week, so payroll treated the 8 working days in that period as loss of pay. Her record showed authorized leave, not absence.

Does leave without pay affect my service record?

Approved LWP is recorded as authorized leave, so it is not treated as misconduct. It can still affect some service-linked items, depending on company policy, such as leave accrual for the month, the timing of your increment or confirmation, and some benefit calculations. Ask HR how your company treats long LWP before applying for more than a few days.

Can a company refuse leave without pay?

Yes, LWP is usually at the employer's discretion, because it is granted after the paid leave entitlements are used. Companies weigh the reason, the length and the effect on the team. For longer needs, a structured option such as a sabbatical may fit better. If LWP is refused and the employee stays away anyway, the days are treated as unauthorized absence.
