Tag each person with skills, role family, location preference and the date of last contact. A pool without tags is just an old folder of resumes that nobody opens when a role comes up, so the tagging matters more than the size.

Talent pool vs recruitment funnel
A recruitment funnel belongs to a specific opening and moves candidates toward a decision. A talent pool has no single opening; it holds people for future ones. Candidates flow both ways. A silver-medal candidate leaves the funnel and enters the pool, and a pool candidate enters a new funnel when a matching role opens. A pool shortens time to hire because the first round of screening is already done.
Keeping the pool usable
A talent pool goes stale quickly. People change jobs, cities and expectations. Contact pool candidates at least twice a year with a short note or a role alert, remove anyone who asks to be removed, and delete records you no longer need. Treat the data as personal information: keep it only with the candidate's consent and for a clear purpose. Review the pool when you plan quarterly hiring, so you know which roles it can fill.

How is a talent pool different from a talent pipeline?
A talent pool is the broad group of known candidates for future roles. A talent pipeline is narrower: candidates being prepared or kept warm for specific upcoming roles, often with regular contact or assessments. You build a pipeline from your pool when you know a set of openings is coming, such as a new branch or plant.
