Live attendance board

How it works

1. HR opens Attendance Punches. The Live now board shows the day's counts: working, on break, out, punched today, expected, not in yet, late, on leave and off.
2. Not in yet lists each person with the time they are due, which is their shift start plus grace.
3. Late arrivals show their first punch-in and how many minutes late they were after grace.
4. The board also lists people on approved leave, and anyone whose day was left open yesterday without a punch-out.
5. HR filters the board by department and by shift, for example only the Night shift of the Maintenance department.
6. When attendance rules are on, ZeniaHR sends a late alert, a missed punch-out alert 60 minutes after shift end and an absent alert from 11:30 pm, to the employee and the manager.

What you can set

• Filters: department and shift.
• Late alert: sent when a punch-in crosses the late step in the attendance rules, or on any lateness after grace when no step is set.
• Missed punch-out alert: 60 minutes after the rostered shift end; a night shift ends the next morning, and people without a shift get it the next morning.
• Absent alert: from 11:30 pm, for people expected at work with no punch and no approved leave. Shifts that run past midnight are left out until their day is over.
• Alert channels: in-app to the employee and the manager, with email or WhatsApp copies when your notification rules send them.
• Managers see the same board for their own reporting line on My Team.

Why a live view beats the morning muster

In many offices the attendance picture arrives at noon, when someone compiles the muster or the machine report. By then a missing security guard or a short-staffed billing counter has already cost the morning. A live board shows the gap while it can still be fixed: the supervisor can call the person who is not in yet, move someone from another counter, or ask for cover before the shift gets busy.

Worked example: 10:05 am at a Hyderabad hospital front office

The front office of a Hyderabad hospital has 64 staff expected today across the Morning and General shifts, and 4 more on approved leave. At 10:05 am the board shows 51 people punched in: 48 working and 3 on a break. Five of them came in late, including receptionist Swathi Reddy, whose shift starts at 9 am with 10 minutes of grace; she punched in at 9:34 am, so she is late by 24 minutes.

Thirteen people are not in yet. Ten of them are on the 10:30 am shift and simply are not due. The other three were due by 9:10 am, so the front office manager calls them. The board also lists an accounts clerk whose day was left open yesterday without a punch-out; she had an alert at 7 pm and raises a Forgot check-out correction this morning. Before the 11 am rush the manager filters to the Billing department.

Getting value from the board

The board works best when it is part of the daily routine rather than something HR opens only after a complaint. A few habits make it useful from the first week, and the aim is always to act on a gap within the first hour, while a phone call or a change of counter still helps.

• Keep the board open at the HR or admin desk for the first hour of each shift.
• Filter by shift at shift change, when the not in yet list matters most.
• Clear the missed punch-out list every morning, before corrections pile up at month end.
• Let managers use My Team for their own people, so HR is not the only one making calls.
