Who uses it
From a punch to a payable day
Every punch is one of four types: in, out, break start and break end. Each carries its source, which is web, mobile, biometric, manual, import or kiosk. ZeniaHR never overwrites a punch. It rebuilds each day from the punches instead: time in and out, breaks taken, gross hours and effective hours after breaks. A punch that does not fit the day, such as a punch-out in the middle of a break, is refused with a plain message, so the record stays clean.
The day is then graded against the person's shift for that date. Approved leave, holidays, weekly offs and approved work from home or on duty settle the day first. A worked day is present, a half day or absent by its effective hours. If attendance rules are switched on, lateness, early exits and missing punch-outs can cost a mark or a day, within a monthly cap. At month end HR finalizes the month and Direct Payroll reads those payable days.
How attendance connects to the rest of ZeniaHR
The roster from Shifts and rosters tells attendance which shift a person works on each date, so late minutes and full-day hours are measured correctly, including night shifts that end the next morning. Holidays that apply to a person's branch and department come from the holiday calendar, and approved leave comes from leave applications. The same graded days feed overtime detection, attendance analytics and the paid days of Direct Payroll, so no two screens disagree.
- Corrections and work from home requests follow one fixed chain: reporting manager, then HR.
- A finalized month blocks new corrections, so payroll never changes under your feet.
- Alerts for late arrival, missed punch-out and absence reach the employee and the manager when rules are on.
What stays off until you switch it on
A new company can start with plain punching and grow into rules. While attendance rules are off, days are graded by hours only and nothing is deducted for late marks or early exits. With no capture controls saved, people can punch from anywhere. Without a roster, Sunday is the weekly off. Each of these is a switch or a setting you control, and new attendance rules can be tried on last month before anyone's pay is affected.

Can ZeniaHR use the biometric machine we already have?
Yes, if the machine can push punches over ADMS, also called the iclock protocol. Those punches land in the same stream as web, app and kiosk punches. If your machine cannot push, HR can upload its Excel attendance file instead. A punch within 60 seconds of another punch for the same person is dropped as a duplicate, so mixing channels does not double count.
What happens if an employee forgets to punch out?
The day stays open until it ends, then it is graded by your rule for a missing punch-out: half day until corrected, absent, or hours counted to the shift end. When rules are on, the employee gets a missed punch-out alert 60 minutes after the shift ends and can raise a Forgot check-out correction for the manager and HR.
Does attendance flow into payroll automatically?
Yes. When HR finalizes an attendance month, each person's payable days, penalty days included, are frozen as the payroll snapshot. Direct Payroll takes paid days from that month unless HR sets a manual override, and always bounds them by the joining and exit dates. A finalized month can be reopened with a reason if something needs fixing.
Can we stop employees from punching from home?
Yes. Capture controls let you allow web punches only from your office network addresses, ask for the browser location inside a check-in spot, and require app punches to be inside a check-in spot. You can also tie each person to one approved phone. Location is read only at the moment of the punch, never through the day.
