Leave and approval notifications

Requests stall when the approver does not know they are waiting, and employees keep asking HR whether their leave was approved. ZeniaHR's default rules close both gaps. The manager gets a bell when leave is applied and when overtime needs approval. The employee gets a bell when their request is approved or rejected, when approved leave is cancelled and when overtime is decided. As probation ends, HR and the manager are reminded to act. Email and WhatsApp copies can be added for any of these.

How it works

  1. When an employee applies for leave, their reporting manager gets a bell saying which leave and how many days need review.
  2. When a request reaches its final decision, the person who raised it gets a bell saying it was approved or rejected.
  3. If approved leave is cancelled, the employee and the manager get a bell, and the days go back to the balance.
  4. Overtime found or requested sends a bell to the manager, and the decision sends one to the employee.
  5. As a probation end date approaches, HR and the manager get daily reminders to confirm, extend or close it, and the manager is asked for a review.
  6. For any of these, HR can add email or WhatsApp copies as rules, which go out once live sending is on.

Why approval notifications matter

Managers in Indian companies rarely open an HR portal unprompted. A leave request raised on Monday for Friday can sit unseen until Thursday evening, and then the approval becomes a phone call. A bell at the moment of the request, and a reply to the employee at the moment of the decision, keeps the loop short. It also cuts the stream of questions to HR about whether leave was approved, because the answer arrives on its own.

Worked example: two days of casual leave in Kochi

Sanjana, a staff nurse at a hospital in Kochi, applies in the app for two days of casual leave the following week. Her ward supervisor gets a bell that a casual leave request for two days needs review, and approves it from My Team. HR approves the second step that afternoon, and Sanjana gets a bell that her leave request was approved. Three days later her plans change, and she cancels the leave before it starts. The days go back to her balance, and both she and her supervisor get a bell that the approved leave was cancelled.

Tuning approval notifications

The defaults cover most companies well, so adjust only where there is a real gap, such as managers who work on the floor without a laptop or an HR team that wants an inbox record of every request for its own follow-up.

Frequently asked questions

Does the manager get notified when an employee applies for leave?

Yes. The seeded rule rings the reporting manager's bell as soon as leave is applied, naming the leave type and the number of days. If the employee has no manager set, the request goes straight to HR, who sees it in the leave queue and on the dashboard.

Is the employee told when their leave is approved?

Yes. When the request reaches its final decision, after the manager and HR steps, the employee gets a bell saying it was approved or rejected. The same rule covers other requests such as attendance corrections, so employees do not need to keep checking.

Can HR get an email for every leave application?

Yes. Add a rule for the Leave applied event with email as the channel and HR and Company Head as the recipient. Emails go out once live sending is switched on and mail sending is set up for your account. The bell to the manager keeps working as before.

Are probation reminders automatic?

Yes. As a probation end date approaches, ZeniaHR reminds HR, the Company Head and the manager every morning to confirm, extend or close it, and asks the manager for a review. Email and WhatsApp copies of the reminder can be switched on in the notification rules.
