What is an Approval Matrix? Meaning and Example

An approval matrix is a table that sets out, for each type of request or transaction, who must approve it and in what order, often with limits by amount, grade or number of days. In HR it covers requests such as leave, attendance corrections, overtime, hiring, salary advances, exits and policy exceptions.

What an HR approval matrix looks like

The matrix should be short enough that employees understand it without a flowchart, and it should follow the company's delegation of authority, so that nobody approves beyond the limits the board or management has set.

Designing a practical approval matrix

Every extra approver adds delay, so add one only when it adds a real check. A reporting manager knows whether the team can spare someone, HR knows the policy and the balance, and finance knows the budget. Further steps often just wait in inboxes. Set a time limit for each step and a rule for what happens when an approver is on leave. Review the matrix whenever the organization changes, since a new layer or a merged department changes who should approve.

Approval matrices in HR software

HR systems put the matrix into practice by routing each request automatically. Some allow complex custom chains; others use a fixed chain, which is simpler to run. Salary advances up to ₹15,000 need the reporting manager, HR and the accounts head. Any hire outside the budget needs the managing director. Under the old system, where every leave form went to the MD, approvals had waited up to a week.
