Master data vs transaction data
Master data changes rarely and describes who the employee is and where they sit in the organization. Transaction data records what happens every day or month: punches, leave applications, overtime and payroll runs. The difference matters because an error in master data repeats in every transaction that uses it. A wrong bank account fails every salary credit. A wrong reporting manager sends every leave request to the wrong person. A wrong date of birth misstates the retirement date for decades.
Fields HR systems treat as master data
Above the employee fields sit the masters themselves: the lists of departments, designations, grades and locations. Clean these before loading employees, with one spelling per designation, no duplicate departments and a code for each entry, or every employee record inherits the mess.
- Identity: name as per ID, gender, date of birth, photograph
- Employment: employee code, date of joining, employment type, status
- Organization: company, branch, department, designation, grade, cost centre, reporting manager
- Pay and statutory: bank account, IFSC, PAN, UAN, ESI number
- Contact: mobile number, email, address, emergency contact
Keeping master data accurate
Name an owner for each group of fields, usually HR for employment and organization fields and payroll for bank and statutory fields. Let employees request corrections to their own details, but route changes through HR approval with proof. Check a sample against source documents every quarter. Who is responsible for employee master data?
HR usually owns employee master data, with payroll owning bank and statutory fields and IT owning login details. Ownership means approving changes, keeping proof and fixing errors, not typing every entry. Employees can request corrections to their own details through self-service, but a change should go live only after the owner checks the supporting document.
What is the difference between employee master data and a personnel file?
Employee master data is the structured set of fields, such as code, department, grade and bank account, that systems use to run attendance, leave and payroll. A personnel file is the full collection of documents and history for one employee, including letters, certificates and records of events. Processes use master data every day, and the personnel file is the evidence behind it.
