What core HR includes
Core HR answers one basic question for every other process: who is this employee, where do they sit, and which rules apply to them. Leave policies, shift rules, holiday lists and payroll settings all look up the answer before they do anything.
- Employee records: personal, job, bank and statutory details
- Organization masters: departments, designations, grades, locations and cost centres
- Reporting lines and the org chart
- Lifecycle events: joining, confirmation, transfer, promotion and exit
- Employee documents and letters
- Roles and access rules for who can see and change what
Why core HR comes first
Every downstream process inherits core HR errors. If an employee's location is wrong, the wrong holiday list applies. If the reporting manager is wrong, approvals go to the wrong person. If the grade is wrong, leave and notice terms may be wrong too. Companies that rush to automate payroll before cleaning core HR data end up correcting salaries by hand every month. Setting up core HR properly is slow, detailed work, and it pays back in every module built on it.
How companies set it up
Start with the organization: legal entities, branches, departments, designations and grades, each with a code and one agreed spelling. Then load employees with their reporting managers, check the org chart for gaps, and set access roles. Only then switch on attendance, leave and payroll. In ZeniaHR, the HRMS Setup wizard walks through company basics and employee code format, organization masters, leave setup, and roles and access, and it can be paused and resumed.

What is the difference between core HR and HRMS?
Core HR is the foundation inside an HRMS. It covers employee records, org structure, reporting lines, lifecycle events and documents. An HRMS adds operational modules on top, such as attendance, shifts, leave and payroll, and often talent modules like recruitment and performance. You cannot run an HRMS well without sound core HR, but core HR alone does not run attendance or payroll.
What are core HR functions?
Core HR functions are maintaining accurate employee records, managing the organization structure and reporting lines, processing lifecycle events such as joining, confirmation, transfer, promotion and exit, keeping employee documents and letters, and controlling who can view or change HR data. They form the base that attendance, leave, payroll and performance processes rely on.
