What are Joining Formalities? Meaning and Checklist

Joining formalities are the documents, forms and declarations a new employee completes when joining, so the employer can put them on the rolls, pay them and meet its statutory duties. They include identity and address proof, PAN, bank details, PF and ESI forms and nominations, signed letters and policy acknowledgements.

Common joining formalities in India

The list changes with the company, the role and whether PF and ESI apply, but the core items are similar across Indian employers. Some are needed on day one for payroll and statutory registers, and others can follow within the first week. Share the list before joining so the employee brings everything once.

Why they must be complete from the start

Every missing form shows up later as a problem. Without a bank account, salary cannot be credited. Without the PF declaration and UAN, the first contribution is delayed. Without a nomination, a family may struggle to claim dues if something happens to the employee. Under the OSH Code, an appointment letter must be issued to every employee, so a signed copy on file matters. Incomplete joining files also slow background verification and cause friction at exit, when HR finds that signatures or originals were never collected.

How HR teams handle joining formalities

Send the document list with the offer, so the joiner arrives prepared. Use one joining form instead of five separate sheets. Check originals on day one, keep verified copies and return the originals the same day. Give a clear deadline for anything pending, such as a relieving letter the previous employer has not yet issued, and track it. Example: When Rahul Verma joined a Lucknow hospital as a Staff Nurse on 1 April 2026, HR gave him a single joining form and checked his originals: Aadhaar, PAN, B.Sc. Nursing degree, nursing council registration and his last employer's relieving letter. He filled in bank details, a PF declaration with his existing UAN, and nominations. He signed his appointment letter and the code of conduct acknowledgement, and HR marked his joining file complete on 3 April.

What documents are required for joining a company in India?

Employers usually ask for identity and address proof, PAN, photographs, education certificates, experience and relieving letters from past employers, recent payslips and bank account details. If PF applies, you will also fill in a PF declaration and share your UAN if you have one. The exact list depends on the role and company policy, so check the joining checklist HR sends with the offer.

Can I join a new company without a relieving letter?

Often yes, but it depends on the new employer's policy. Many companies let you join and give you 30 to 60 days to submit the relieving letter once your previous employer issues it. Some roles, especially in banking and other regulated sectors, may need it before joining. Tell HR in advance, share your resignation acceptance email as interim proof, and agree the deadline in writing.
