A lender asks customers for complete KYC and should hold its own staff to the same standard. Employee files here carry identity and address proof, background verification reports, signed conduct and confidentiality declarations and, for field staff, driving licences and vehicle papers that expire. Good document management keeps a required checklist per role, verifies each upload, tracks expiry dates, and controls who can see bank and salary details across a network of branch managers.

What a lending employee's file holds

Think of the file in layers. The first proves who the person is. The second proves they were checked. The third records what they agreed to. An auditor sampling five files at a branch should find every layer complete for each person, whether the employee joined last month or ten years ago, and should not have to wait for copies to be couriered from head office.

Documents that expire

Several documents in a lender's files have an end date. Driving licences and two-wheeler insurance of field officers expire, and an officer riding to centre meetings on lapsed insurance is a risk for the lender as well as the officer. Annual declarations, such as the code of conduct acknowledgement and the conflict of interest declaration, lapse every year by design. Enter an expiry date when HR verifies each upload, and review document reports for upcoming expiries every month.

Branch managers need their team's attendance, leave and documents, but not always salaries or bank account numbers. Area managers need the same for a cluster. Set data scope by branch or by reporting hierarchy, and mask salary, bank and contact fields for roles that do not need them. Files are stored securely and downloads use time-limited links, so a link forwarded by mistake does not stay open for good.

Keeping files audit-ready

Missing documents pile up quietly after joining. Each month, check the required-document checklist for recent joiners and chase gaps through the branch manager. When HR rejects a document, record the reason so the employee knows what to upload again. On a transfer, the file moves with the employee, so the new branch manager sees the same verified documents without asking the officer for fresh photocopies.
