Documents before day one
Send the self-onboarding link as soon as the offer is accepted, so the joiner fills personal, address, family, bank, education and experience details and uploads documents from a phone. For a loan officer from a Hindi-speaking district, the Hindi version of the form cuts the back-and-forth. HR reviews each submission and asks for changes when a document is unclear, and approval creates the employee record with everything attached.
- PAN and Aadhaar
- Bank account proof for salary credit
- Education certificates and mark sheets
- Relieving letter and the last three payslips from the previous lender or employer
- Driving licence and two-wheeler papers for field roles
- Photograph for the ID card
Checks before system access
Background verification is standard practice in lending. Address, education and previous employment checks are the minimum, and many lenders add a credit bureau check and police verification for roles that handle cash, with the candidate's written consent. Issue loan system and core banking credentials only after the checks clear. If a report is still pending on the joining date, let the person start induction and product training but keep them away from customer money and data until it arrives.
The first two weeks of a loan officer
Classroom induction covers the loan product, KYC rules, the code of conduct and how to handle cash and receipts. The new officer then shadows an experienced colleague at centre meetings for a week, sits in on group training for new borrowers and handles collections with a senior present. By the end of the second week the branch manager signs off that the officer can run a centre meeting alone. The appointment letter should be in hand on the first day, since the OSH Code requires one for every employee.
Probation that ends with a decision
Six months is a common probation for officers in lending, and some lenders use three months for field roles. A reminder before the end date prompts the branch manager to rate the probationer from 1 to 5 with a comment on attendance, portfolio quality and conduct. HR then confirms with a letter, extends by a set number of months with a reason, or records that the person is not confirmed. Keep auto-confirmation away from roles with cash or credit authority, because it turns probation into a formality.
How to set it up in ZeniaHR
- Set the onboarding document checklist with PAN, Aadhaar, bank proof, education, relieving letter and, for field roles, a driving licence.
- Share the company-branded self-onboarding link or QR code, in English or Hindi, with each batch of joiners and review submissions as they arrive.
- Approve, reject or ask for changes on each submission; approval creates the employee record, where HR sets branch, department, grade and reporting manager.
- In the work terms policy, set probation months by employment type, reminder days, manager review required and the notice days that apply during probation.
- Keep auto-confirm off for cash and credit roles, and work the probation queue weekly: confirm with a letter, extend with a reason or record not confirmed.

What documents are needed to join an NBFC?
NBFCs usually ask for PAN, Aadhaar, bank account proof, education certificates, the relieving letter and recent payslips from the last employer, and a photograph. Field roles also need a valid driving licence and vehicle papers. Background and reference checks follow, often with a credit bureau check for roles that handle money, before system access is issued.
Why do banks run credit checks on new employees?
Staff in lending handle cash, customer data and loan approvals. A credit bureau check, run with the candidate's written consent, shows unmanaged debt that could create pressure or a conflict of interest in such roles. Lenders treat it as one input alongside references and employment verification, and decide case by case rather than rejecting on a single entry.
How long is probation in banks and NBFCs?
Six months is common for officers and managers, and some lenders use three months for field roles. The probation period and the notice during probation should be written in the appointment letter. Confirmation should follow the manager's review of attendance, work quality and conduct, with an extension for anyone who needs more time.
