Employee documents for colleges and universities

A college's employee files are read by the affiliating university, accreditation peer teams, regulators and auditors, often at short notice. Faculty files must prove every qualification and year of experience claimed, and show the university's approval of the appointment where that applies. Lab, hostel, transport and project staff have their own papers, some with expiry dates. Good practice keeps a role-wise checklist, verified originals, structured qualification records and expiry dates that surface before a visit does.

What a faculty file should contain

Each faculty file holds the appointment order and joining report, the university approval letter where your university approves appointments, degree certificates and marksheets, NET or SET and PhD certificates, experience certificates from earlier institutions with exact dates, the relieving letter, the publications list with copies of papers, FDP and refresher course certificates, ID and address proof, PAN and bank details. Promotions add the committee's recommendation and the new order. A missing paper tends to surface during an approval or accreditation visit, which is the worst time to find it.

Files for other staff groups

Lab and technical staff need qualification proofs and any equipment or safety certification. Hostel wardens and mess staff need police verification and, for food handlers, a medical fitness certificate renewed on the schedule your policy sets. Drivers of college buses need a valid licence and badge. Project staff files hold the project's sanction letter, the fixed-term appointment letter and any extension issued when the funding agency extends the project. Visiting faculty files need the engagement letter for each semester and proof of their highest qualification.

Expiry, verification and access

Record expiry dates for driving licences, fitness certificates, police verification, safety certifications and fixed-term appointment letters, and review what expires in the next 90 days every month. Verify originals at joining and note who verified them. Give the IQAC view access to qualification documents for accreditation work, while masking salary and bank details for that role. When a peer team or auditor needs to see a file, share time-limited links rather than handing over copies that nobody tracks afterwards.
