Shift scheduling for colleges and universities

Faculty follow a timetable built by the academic office, but HR still needs a shift for every employee: a campus day for faculty, early starts for lab staff, a long day split across two library shifts, longer exam cell hours in exam months and night cover in the hostels. Some colleges also run two academic sessions a day. Good scheduling defines these timings once, handles Saturdays clearly and keeps the hostels and gates covered all night.

Shift I and Shift II colleges

In Tamil Nadu and some other states, arts and science colleges run two sessions a day, for example Shift I from 8:30 am to 1:30 pm and Shift II from 1:45 pm to 6:15 pm, often with different faculty and a separate fee structure. Faculty in each session need their own shift, grace period and late rule, and anyone who teaches in both needs a clear record of the session they belong to for pay. Treat each session as its own shift, not as one long day, so late marks and hours are judged correctly.

Labs, library and exam cell hours

Lab assistants usually start half an hour before the first practical to set up equipment, so an 8:30 am start for a 9 am practical is common. A central library that stays open from 8 am to 8 pm on weekdays needs two overlapping shifts. The exam cell starts before the 9:30 am paper and stays until answer books from the afternoon session are packed and sealed. Define a separate exam-season shift for the exam cell, assign it in bulk for the exam weeks, and treat hours beyond it as overtime.

Hostel wardens, guards and weekly offs

Hostels need a warden or assistant warden on the premises every night, and a large campus needs guards at every gate around the clock. Wardens who live on campus often cover nights by rotation, for example one warden per block each night on a 14-day cycle, with personal weekly offs so the whole team is never off on the same day. Guards work three 8-hour shifts with rotating weekly offs. Saturdays differ: many colleges give office staff the second and fourth Saturdays off, while faculty come in for remedial classes, mentoring or placement training.

Cover for exam days

During end-semester exams, every hall needs its invigilators, and every block needs a lab assistant and a support staff member on standby. The exam cell publishes the invigilation chart. HR's job is to make sure the people on it are not on leave, on a weekly off or on duty at another college that day. Compare the chart with the day grid two days ahead, and settle clashes then, not at 9 am on the day of the paper.
