How ZeniaHR decides a person's shift for a day
The roster is opt-in: HR switches it on for the company on the Shifts and Roster page. Once it is on, each person's day is settled in a fixed order. A roster entry for that date wins, whether it is a shift code or OFF. If there is none, a personal weekly off set for that employee applies. Otherwise the default shift and its weekly off pattern decide, so every day has an answer. Before the roster is switched on, Sunday is simply the weekly off for everyone.
How shifts connect to attendance, overtime and payroll
Every punch is measured against the shift rostered for that date. The shift start plus grace decides lateness, the shift end minus grace decides early exits, and the full-day hours decide whether the day is a full day, as described under attendance. A night shift files punches after midnight to the day it started. Overtime can be counted after the shift end, and work on a weekly off is paid at the weekly-off multiplier or earns comp-off. Payroll reads the finalized month built on those days, so a wrong roster shows up as a wrong payslip.
- Seeded shifts: General 9 am to 6 pm, Morning 6 am to 2 pm, Evening 2 pm to 10 pm and Night 10 pm to 6 am, all editable.
- Shift types: fixed, flexible with optional core hours, and split with two windows in a day.
- Swaps change the roster only on the final approval, so attendance never judges a half-agreed plan.
Planning rosters for teams that run every day
Hospitals, plants, warehouses and security teams need cover every day, which calls for rotations and staggered weekly offs rather than one Sunday off for all. Plan the cycle so each shift has enough people on every day, check the first two weeks in the preview, and apply it a quarter at a time. If women work the Night shift, the OSH Code allows it with their consent and the safety conditions the government sets; read the rules on women working night shifts before rostering them.

What is the difference between a shift and a roster?
A shift is a template: its code, start and end times, break, full-day hours, grace and weekly off pattern. A roster is the calendar that puts a shift, or a day off, against each person for each date. In ZeniaHR you build shifts once and then fill the roster by hand, by date range or with a rotation.
Can different employees have different weekly offs?
Yes. Each shift has its own weekly off pattern, including Saturday rules, and HR can give one employee a personal weekly off from a date, such as Tuesday for a store manager who must work Sundays. A roster entry for a single date, including OFF, wins over both.
Does ZeniaHR handle rotating shifts?
Yes. A rotation template repeats a cycle of shift codes and days off, up to 62 days long, and can stagger each next person by a set number of days. HR previews the first two weeks and applies the rotation over a date range of up to 92 days at a time.
Can employees see their own roster?
Yes. My Self-Service shows today's shift or weekly off with the shift timings, and the employee app shows the roster for the coming days. Managers can see their team's roster in the app, and an approved swap shows on the roster of both people involved.
