Branch timings and cash opening
A typical credit society branch opens to members at 10 am and closes cash at 4 pm, with staff in from 9:45 am to 6 pm to balance cash and post entries. The cashier and the branch manager often hold the strong room keys jointly, so if either is late, members wait outside. Keep the grace period tight for these two roles, perhaps five minutes, and a little wider for clerks. A late alert to the branch manager means a call to the cashier before members start queuing.
Recovery officers and daily deposit agents
Recovery officers and loan inspectors start the day at the branch or directly at a borrower's house or shop. Let them punch from the mobile app with location, and file on duty requests for full days of village or market visits, approved by the branch manager. Daily deposit agents paid only a commission are usually kept outside attendance, while agents on the rolls follow the same field rules as recovery staff. Settle their status clearly in the board-approved rules.
- Recovery officers: app punch with location
- Full field days: on duty requests
- Commission-only agents: outside attendance
- Agents on the rolls: same field rules as recovery staff
Dairy collection points and plants
Milk collection runs twice a day, often 5:30 am to 8:30 am and 5 pm to 7:30 pm, and staff at collection points or bulk milk coolers work a split shift around those windows. Chilling and processing plants run three shifts. Put a biometric device or QR kiosk at each plant gate and at larger collection points, so punches are matched to the right split or rotating shift. A night shift that ends after midnight should count toward the day the shift began.
Corrections, month close and audit
Set limits on corrections, such as three a month and five days back, approved by the branch manager and then HR, and keep the original punches, since the statutory auditor may compare attendance with salary paid. Close attendance by the 2nd, so payroll works from a final record. If the board or the CEO declares a special holiday after the month is closed, reopen the month with the reason noted rather than editing records quietly.
How to set it up in ZeniaHR
- Create each branch, collection point, chilling plant and the head office as a location or branch, and cash, loans, recovery, procurement and plant teams as departments.
- In Shifts & Roster, create the branch day, a shorter-grace branch shift for cashiers and managers, split shifts for milk collection and three plant shifts with the night shift flag.
- Place biometric devices or Kiosk Punch tablets at branches and plant gates, each tied to its check-in spot, and use app punches with location for recovery staff.
- In Attendance rules, set free late marks per month and the deductions your service rules state, and dry run them on last month before switching on.
- Turn on late alerts to the employee and the branch manager, and missed punch-out alerts for plant staff.
- Set Attendance Regularization limits, and run month close by the 2nd once approvals are cleared.

How do credit societies track staff attendance?
Most use a biometric machine or QR kiosk at each branch, with a tight grace period for the cashier and branch manager because cash cannot open without them. Recovery officers punch from the mobile app with location and file on duty requests for field days. Attendance is closed monthly and kept for the statutory audit.
How should dairy co-operatives record split shift attendance?
Define the collection timings as a split shift, such as 5:30 am to 8:30 am and 5 pm to 7:30 pm, and match each punch to the right half. The gap between collections is then not counted as absence. Plant staff on rotating shifts are recorded separately, with night shifts credited to the day they began.
Do daily deposit agents need to mark attendance?
It depends on how they are engaged. Agents paid only a commission on collections are usually kept outside the attendance system, while agents on the society's rolls follow the same field rules as recovery staff. Settle their status in the board-approved rules, and take advice where it is unclear.
