Documents that prove the appointment
Each file should hold the appointment order citing the board resolution and the sanctioned post, the joining report, the confirmation order after probation, and every order for promotion, transfer and pay revision, each with its resolution reference. Add the educational certificates the post required and the recruitment record: the application, test marks and the committee's merit list. An auditor who finds a promotion without a resolution will raise an objection, and a missing order is hard to recreate years later.

Security, authorisations and declarations
Cashiers, storekeepers and others with custody of cash or stock usually furnish a fidelity guarantee, surety bond or deposit under the service rules; keep it with its validity date and renew it before expiry. Every salary deduction for a staff loan, recurring deposit or welfare fund needs a signed authorisation on file. Many societies also ask staff to declare relationships with directors and any loans they hold with the society, updated each year, so conflicts of interest stay visible.
Fitness, licences and expiry tracking
Dairy plant and collection staff who handle milk need medical fitness certificates renewed on the cycle your food safety practice sets. Tanker and vehicle drivers need valid licences, and boiler or refrigeration operators may need certificates for the equipment they run. Record expiry dates on every such document and look each month at everything due to expire within 60 days. Restrict access: branch managers see their staff's document status, while salary, bank and loan details stay with HR and accounts.
