Onboarding for warehouse and logistics staff

A picker's first day decides whether they return for the second. Warehouse onboarding has to collect documents and bank details before the first shift, issue the appointment letter, walk each joiner through the floor's safety rules and pair them with a buddy. For peak batches of fifty or more, the paperwork should be finished on phones before joining day, so the day itself is spent on the floor, not in a queue at the HR desk.

Joining papers sorted before the first shift

Send each selected candidate the company's self-onboarding link or QR code. It works in English, Hindi and Gujarati, which helps at sites in Sanand, Bhiwandi or Farrukhnagar where joiners come from many states. From their phone, the joiner fills in personal, identity, bank and address details and adds a photo, Aadhaar, PAN and bank proof. Role documents, such as a forklift operator's training certificate, are added to the employee's documents by HR after joining. HR approves, rejects or asks for a change, and approval creates the employee record. When a walk-in drive fills sixty openings in a weekend, bulk import the batch instead of adding people one at a time.

The floor safety induction

No one should enter the pick area before the induction is done and recorded. Keep it practical and walk the floor rather than showing slides in a cabin. Record it as a training program in ZeniaHR and mark each joiner complete, so the list of inducted people is always current.

Appointment letters and probation

Every employee must get an appointment letter under the OSH Code, including temporary pickers. For seasonal staff, issue a fixed-term letter with the end date; a fixed-term worker holds full employee status for the length of the term. Permanent floor staff commonly serve three months of probation and executives six, but follow your own policy or standing orders.

Probation reviews slip when the floor is busy. ZeniaHR keeps a queue of people whose probation ends soon, sends daily reminders to HR and the shift in-charge, and lets the manager rate the person from 1 to 5 with a comment. HR then confirms, which saves a confirmation letter to the employee's documents, or extends by a few months with a reason.

What documents do warehouse workers need at joining?

Usually Aadhaar, PAN, a bank passbook or cancelled cheque, a photograph and address proof, plus the UAN if they have worked under PF before. Forklift and reach truck operators should also submit their operator training certificate. The self-onboarding link collects the photo, Aadhaar, PAN and bank proof before the first shift; HR adds the rest, such as the operator certificate, to the employee's documents.

How long is probation for warehouse staff?

It is set by your policy or standing orders. Many warehouses use three months for pickers, packers and loaders and six months for executives and shift in-charges. Whatever you choose, review before the end date: confirm, extend with a reason, or record that the person was not confirmed.

Do temporary warehouse staff need an appointment letter?

Yes. Under the OSH Code, an appointment letter must be issued to every employee. For seasonal pickers, a fixed-term appointment letter with a clear end date works well, and a fixed-term worker holds full employee status during the term, including PF, ESI and leave where they apply.
