Let earned leave build for the long trip home
Most drivers save leave for one or two long visits home a year, so earned leave matters more than casual leave. Accruing earned leave at 1.5 days a month lets it build steadily, and the OSH Code caps carry forward at 30 days, which fits the pattern. Set a maximum spell per application that allows a real visit home, such as 20 days, and a notice period long enough to find a relief driver.
Mahesh joined in January. By the end of October he has accrued 10 x 1.5 = 15 days of earned leave, and he wants 20 days for his sister's wedding. Before he submits, the leave preview shows the days charged and his balance after, so he applies for 15 days of earned leave and 5 days of loss of pay knowing exactly what his payslip will show.
A festival rotation drawn up in January
If every driver from eastern Uttar Pradesh and Bihar leaves for Chhath in the same week, the fleet stops. Split drivers into two groups at the start of the year: one gets Holi at home, the other Diwali and Chhath, and the groups swap the next year. Punjab and Haryana drivers who go home for the wheat harvest in April form a third group. Publish the rotation on the Company Wall and check the team leave calendar before approving any festival request.
Rest after trips and weekly offs spent driving
A driver who is on the road for ten days usually works through at least one weekly off. Credit it: HR grants a comp-off for each weekly off or holiday worked on a trip, and the credit carries an expiry so it is actually taken. Many fleets also give a fixed rest day after any trip longer than a week, written into the policy so the depot cannot skip it when loads are waiting. Check your state's rules on rest for transport workers when you set it.
Sick leave and fitness to drive
Sick leave for a driver has a safety side. Ask for a medical document after two days of sick leave, and for longer illness or any injury, ask for a doctor's note that the driver is fit to drive before he goes back on a vehicle. The same rule should apply after a road accident, even when the driver says he feels fine. Keep these notes in the driver's documents so the next supervisor can see them.
