Probation confirmation letter format

A confirmation letter tells an employee that probation is over and they are now a confirmed employee. It closes the probation clause of the appointment letter and fixes the date from which confirmed terms apply, such as the longer notice period, eligibility for some leave types or benefits, and any salary revision tied to confirmation. Without it, an employee can remain on probation on paper for years.

When to use it: Issue it on or just before the last day of probation, once the reporting manager has recommended confirmation in writing after the probation review. HR prepares the letter and the HR head or a director signs it. The employee signs a copy as acknowledgement, and it goes into the personal file.

What to include

Effective date of confirmation

State the exact date confirmation takes effect. The notice period, leave eligibility and some benefits change from that date, so an unclear date turns into a dispute when the employee resigns.

Written manager recommendation

Confirm only on a written recommendation from the reporting manager, based on a real probation review. The letter can quote one or two specific strengths from that review, which makes it more than a form.

Terms that change on confirmation

List what changes: notice period, leave types, insurance cover, salary. If nothing changes except status, say so, so that the employee does not expect an increment that was never planned.

Link to the appointment letter

Is a confirmation letter mandatory after probation?

It is not a separate statutory requirement, but it is the only clear proof that probation ended and confirmed terms began. Without it, disputes arise over notice period, leave and benefits. Most companies issue one as a matter of policy, and the appointment letter should say that confirmation will be communicated in writing.

What happens if no confirmation letter is issued after probation?

It depends on the appointment letter. Some letters say probation continues until confirmation in writing; others say the employee is deemed confirmed once probation ends. Either way, the uncertainty helps nobody. Track probation end dates and issue a confirmation, extension or non-confirmation letter on time.

Does salary increase after probation confirmation?

Only if the appointment letter or company policy says so. Many companies keep salary unchanged at confirmation and revise it in the annual cycle, while others give a confirmation increment. The confirmation letter should state clearly whether salary changes and from which date.

Who signs a probation confirmation letter?

An authorised signatory, usually the HR head, a director or the plant or branch head with delegated authority. The reporting manager's written recommendation should be on file before the letter is signed. The employee signs a copy as acknowledgement.
