Salary account opening letter format

A salary account opening letter is a request from the employer to a bank to open a salary account for one or more employees, usually under the company's corporate salary arrangement. It confirms that each person is employed and that salary will be credited to the account, which lets the bank open it with its zero-balance salary benefits. The employee still completes the bank's own form and KYC; the letter only introduces them.

When to use it: Issue it during joining formalities, once the employee has chosen to open a salary account with the company's partner bank, or when the company moves salaries to a new bank. HR or accounts prepares it, an authorised signatory signs it, and the employee takes it to the branch or the bank's relationship manager collects it.

Subject: Request to open salary accounts for our employees

Dear Sir or Madam,

We have a corporate salary arrangement with your bank under the corporate ID mentioned above. We request you to open salary accounts for the following employees of our company, who are on our rolls on the dates given:

  • [Employee Name 1], [Designation], Employee ID [Employee ID], date of joining [Date], mobile [Mobile Number]
  • [Employee Name 2], [Designation], Employee ID [Employee ID], date of joining [Date], mobile [Mobile Number]
  • [Add further employees as needed or attach a signed list]

The monthly salaries of these employees will be credited to the accounts by our company from [Month and Year]. Each employee will submit the account opening form and KYC documents directly to the bank, as required under your procedures.

Please share the account numbers with us at [HR or Accounts Email] once the accounts are opened, so that we can update our payroll records. If any employee leaves our service, we will inform the bank so that the account can be converted as per the bank's rules.

This letter confirms employment and our intention to credit salary. It does not constitute a guarantee by the company for any loan, overdraft or credit facility that the bank may extend to the employees.

Yours faithfully,
For [Company Name]

What to include

Corporate ID and tie-up

Quote the corporate salary arrangement or ID so the bank applies the right account type and benefits. Without it, the branch may open an ordinary savings account.

Employee details the bank needs

List name, designation, employee ID, joining date and mobile for each person. For bulk openings, attach a signed list rather than stretching the letter.

KYC stays with the employee

State that each employee completes the bank's form and KYC. The company introduces the employee but does not certify identity documents on the bank's behalf.

No guarantee for credit

Add a line that the letter does not guarantee any loan or overdraft. Banks sometimes offer credit on salary accounts, and the company should not be drawn in.

Employee's free choice

Offer the salary account as an option. Employees should be free to receive salary in any bank account in their own name; the tie-up is a convenience, not a condition of employment.

Common mistakes to avoid

Run it in ZeniaHR

Bank details sit on the bank tab of the employee profile in ZeniaHR, and new joiners enter them on the self-onboarding form. Once the bank shares the new account number, HR updates the profile before the payroll run, so the payment batch from the finalized Direct Payroll run carries the right account. Bank fields can be masked by role in access control, so only payroll and HR see full account numbers.

Frequently asked questions

What is a salary account opening letter?

It is a letter from an employer to a bank requesting salary accounts for its employees, usually under a corporate salary arrangement. It confirms each person's employment and that salary will be credited to the account. The employee then submits the bank's form and KYC documents directly.

Is it compulsory for an employee to open a salary account with the company's bank?

No. A tie-up with a bank is a convenience. Employees should be free to receive salary in any account in their own name. Companies prefer a common bank because it simplifies transfers, but the choice should stay with the employee.

What happens to a salary account when the employee leaves the company?

The bank usually converts it into a regular savings account after salary credits stop, and the minimum balance rules of that account type may then apply. The exact treatment depends on the bank. The employer should inform the bank of the exit, and the employee should check the new terms with the branch.
