How an on-call rotation works

On-call, or standby, duty covers problems that arise outside normal hours without keeping a full night crew. A team shares the duty in turns, usually a week each. During their on-call week a person is reachable and ready to respond, while still doing their normal day job in the other weeks. This roster shows four people rotating so someone is on call every day of the month. It is common for IT, maintenance, facilities and medical support.

How the roster works

There are two duty types: a general day shift from 9 am to 6 pm, and an on-call standby that covers evenings, nights and weekends. Four people take turns being on call for a week. Team A reads CCCCCCC in week one, then returns to day work, while the others cover the day shift Monday to Friday and rest at weekends. Across the 28 days each person is on call for one week, so standby is covered every day. The roster makes clear who to reach out of hours, so calls do not land on whoever answers first.

How hours and pay work

In the three normal weeks each person works about 40 hours, Monday to Friday on the day shift. In the on-call week they are on standby rather than at work, so scheduled day hours are light that week. Standby itself is usually paid as an allowance, and any actual call out is working time, paid as overtime at twice the ordinary wage rate with consent when it runs beyond the ordinary hours. Set clear rules on what counts as a call out, response time and rest after a heavy night, so people are not on call and then on a full day.

Who it suits

On-call rotation suits IT and DevOps, plant and facilities maintenance, medical support and any team that must respond to rare out of hours events. It avoids paying a full night crew for hours that are usually quiet. Fairness is the key: share the weeks evenly, pay standby and call outs properly, and protect rest after a disturbed night. Track who was called and for how long, so the load is visible and the on-call allowance and overtime are paid correctly each month.

Set it up in ZeniaHR

  1. In the shift catalogue add the general day shift and an on-call standby entry with codes, timings, break, full and half day hours, grace, and a colour.
  2. Build a rotation template that gives each person one on-call week in turn, with day work in the other weeks, so standby is covered every day.
  3. Assign in bulk over up to 92 days and open the day grid to confirm exactly one person is on call each day of the month.
  4. Add the on-call allowance as a payroll input, and use the overtime policy so a call out beyond ordinary hours is paid at or above twice the rate.
  5. Log each call out and its hours through attendance so the effective hours and any overtime are counted and approved by manager then HR.
  6. Use notifications so the person on call and their manager are told when they start their on-call week and when a call out is logged.

Frequently asked questions

What is an on-call rotation?

It is a schedule where team members take turns being on standby for problems outside normal hours, usually a week each, while doing their normal day job the rest of the time. It covers rare out of hours events without keeping a full night crew, and makes clear who responds.

How is on-call time paid?

Standby is usually paid as an on-call allowance for being reachable. An actual call out is working time and is paid as overtime at twice the ordinary wage rate with consent when it runs beyond ordinary hours. Set clear rules on what counts as a call out and record the hours worked.

How do you keep on-call fair?

Share the on-call weeks evenly across the team, pay standby and call outs properly, and protect rest after a disturbed night so no one is on call and then on a full day. Track who was called and for how long, so the load is visible and shared over time.
