How it works
- When adding a holiday, pick the branches it covers in applies to branches, or leave the list empty for every branch.
- Pick departments in applies to departments when only some teams get the day, such as a plant shutdown for production staff.
- A person gets the holiday only when they match both lists, their branch and their department.
- Employees see their own filtered list in My Self-Service and the mobile app, including the optional holidays they may pick.
- Open the Check a person tab to see one employee's holiday year exactly as ZeniaHR applies it.
- Attendance, the leave sandwich rule and payroll all read the same per-person list, so a regional holiday never counts for the wrong branch.
What you can set

Why multi-location companies need scoped holidays
A single list forces a bad choice. Give every branch every regional holiday and each office closes on days that mean nothing locally. Give none and the Kolkata team works through Durga Puja while HR fields complaints. Worse, when the list in the system does not match what a branch actually observes, attendance marks people absent and payroll deducts pay for a day the branch head declared off. Scoping each holiday to branches and departments keeps one list while letting each location follow its own calendar.
Worked example: three branches and a plant shutdown
A packaging company has a head office in Mumbai, a plant in Chennai and a sales office in Kolkata. Maharashtra Day on Friday 1 May 2026 is set to the Mumbai branch only. Pongal is set to Chennai and the Durga Puja days to Kolkata. National holidays keep both lists empty and apply everywhere.
The Chennai plant also closes for annual maintenance on Saturday 26 December 2026. HR adds it as a Company holiday with the branch set to Chennai and the department set to Production. Divya, an accountant at the Chennai plant, is in Finance, so the shutdown is not a holiday for her; the Check a person tab confirms it before anyone asks. Production staff at Chennai see it in their app, and their attendance shows a holiday instead of an absence.
Keeping branch matching reliable
Holiday scope matches the branch and department on each employee record, so those records must be right. Fix blank or old department names before the year starts, and move transferred employees to their new branch on the transfer date. Use the Check a person tab for one employee from each location each January. When state holidays are notified late, add them to the affected branch alone rather than to everyone.

Can one holiday apply to only some branches?
Yes. Pick those branches in applies to branches when you add the holiday. Only employees at those branches get the day as a holiday; everyone else works as usual. Leave the list empty when the holiday applies to all branches, as with national holidays.
Can a holiday apply to one department only?
Yes. Pick the department in applies to departments, for example Production for a plant shutdown day. If you also pick a branch, the person must belong to both, so a shutdown at one plant does not become a holiday for production staff at another plant.
What happens to holidays when an employee moves to another branch?
The holidays follow the branch on the employee record. Once HR updates the branch, the person sees the new branch's holidays. An optional holiday picked earlier that no longer applies is shown struck through in the picks report, so HR can sort it out with the employee.
How do employees know which holidays apply to them?
They see their own list. My Self-Service and the mobile app show each employee only the holidays for their branch and department, plus the optional holidays they may pick. HR can see the same view for any person in the Check a person tab.
