What a useful leave calendar shows
The calendar earns its place at approval time. Before approving a request, a manager can see that two of five team members are already away that week, or that a pending request overlaps with a colleague's approved leave, and ask one of them to adjust their dates.

Leave calendar versus holiday calendar
A holiday calendar lists the days the company or a branch is closed, such as national and public holidays. A leave calendar shows individual absences on leave. Employees need both to plan. In a five-day week, the leave calendar tells you whether a colleague is away on Thursday, 24 December 2026, and the holiday calendar tells you that Christmas falls on Friday, 25 December, so one day of leave gives you four days off.

Show the type of leave only where it is needed: a team may need to know that someone is away, not that they are on sick or menstrual leave. Managers see their own team, and HR sees everyone. What is the use of a leave calendar?
A leave calendar shows at a glance who is on leave, or has applied for leave, on each day. Managers use it to approve requests without leaving the team short, and employees use it to plan their own leave around colleagues and holidays. It also helps HR spot clusters of leave before festivals or quarter ends.
Should employees see their colleagues' leave?
Seeing that a colleague is away helps planning and avoids clashes, so many companies show team members who is on leave. What should stay private is the reason or leave type, such as sick or menstrual leave. A common approach is to show only that a person is on leave to the team, and the leave type to the manager and HR.
