Mandatory training compliance

When an auditor asks whether all your forklift drivers have completed safety training, the answer should take seconds. In ZeniaHR every program can be flagged mandatory, and each program opens with a compliance view: how many people are enrolled, how many have completed and the completion rate. HR sees at a glance which mandatory programs are behind and can chase the people still at assigned or in progress.

How it works

  1. Tick Mandatory when creating a program. Mandatory programs carry a badge in the program list.
  2. Enrol everyone the training applies to, so the program's figures cover the whole group.
  3. Open the program to read three figures: Enrolled, Completed and Completion, the share completed in percent.
  4. Scan the enrolment list for anyone not yet completed and follow up with their manager.
  5. Mark each completion as it happens; the figures update immediately.

What you can set

Why a completion rate beats a stack of attendance sheets

Attendance sheets show who came to a session. They cannot show who never came, and that is the question an audit asks. A completion rate needs a denominator: everyone the training applies to. Enrolling the whole group first and marking completions as they happen gives HR a live figure per mandatory program. A buyer's compliance team or a safety inspector sees the same number HR sees, and the list behind it names every person still pending.

Worked example: two programs before a buyer audit

Two weeks before a buyer's audit, the HR officer at a Vapi chemical plant opens her mandatory programs. Fire safety and evacuation shows 60 enrolled and 51 completed, a completion rate of 85 percent. Chemical spill response shows 24 enrolled and 15 completed, which rounds to 63 percent.

The spill response list shows the 9 pending people are all on the night shift. She books a session for them on the next Saturday, marks all 9 complete after it, and the program reads 24 of 24, 100 percent. Fire safety takes one more session for the remaining 9, and both programs are complete before the auditors arrive.

Keeping mandatory training on track

Enrol new joiners in mandatory programs during their first week, so the denominator is always right. Review mandatory programs monthly rather than before audits. When someone moves into a role that needs a certification, enrol them the day the move is recorded on their employee record. Treat any mandatory program below 90 percent as a task for the month.

Completed enrolments divided by total enrolments, times 100, rounded to a whole percent. A program with 60 people enrolled and 51 completed shows 85 percent. Because the rate depends on enrolments, enrol everyone the training applies to before reading it.

Can I see who has not completed a mandatory training?

Yes. Open the program and read the enrolment list: each person shows a status badge and progress, and anyone not marked completed still needs the training. Completed rows carry a medal icon, so the pending names stand out.

When should new joiners be enrolled in mandatory training?

In their first week. Enrolling new joiners as soon as they are onboarded keeps the program's completion rate honest, because the rate only counts people who are enrolled. It also gives HR the list of new staff who still need the training.
