Learning and training management

Factories run safety training, hospitals run infection control and banks run compliance refreshers, and each of them must show who was trained. ZeniaHR keeps a catalogue of training programs with the mode, the hours, a mandatory flag and how many months a certificate stays valid. HR enrols employees, marks completions, and ZeniaHR issues a certificate number with an expiry date and shows the completion rate for every program.

Who uses it

HR teamBuilds the program catalogue, enrols employees program by program, marks completions and follows each program's enrolled, completed and completion rate figures.
Company headChecks completion rates on mandatory programs, such as fire safety or a buyer's code of conduct training, before an audit or a client visit.

How training runs in ZeniaHR

HR creates a program with a title, a mode, online, classroom, blended or external, the training hours, a certificate validity in months and a mandatory flag. Employees are enrolled into the program and start as assigned. When a person finishes, HR presses Complete: the enrolment moves to completed and ZeniaHR issues a certificate number, with an expiry date worked out from the validity. Each program shows how many people are enrolled, how many have completed and the completion rate, so gaps are visible without a register.

Planning a training year

Start with the training you must be able to prove: safety, hygiene, customer data handling or anything a buyer audits. Mark those programs mandatory and set the validity to your refresher cycle. Each person has one enrolment per program, so run each year's refresher as its own program, such as Fire safety 2027. Enrol new joiners in induction programs during onboarding week, and keep certificates from outside institutes in employee documents.

Frequently asked questions

Can ZeniaHR track mandatory training?

Yes. Any program can be flagged mandatory, and it carries a badge in the program list. Opening the program shows how many employees are enrolled, how many have completed and the completion rate in percent, and the enrolment list shows who is still at assigned or in progress.

What does ZeniaHR record when a training is completed?

The enrolment moves to completed at 100 percent progress, and ZeniaHR issues a unique certificate number with the issue date. If the program has a certificate validity in months, the certificate also gets an expiry date that many months after it was issued.

Can I record training done by an outside institute?

Yes. Create the program with the mode external, enter the hours and validity, enrol the people who attend, and mark them complete when they finish. Keep the institute's own certificate in each employee's documents, next to the ZeniaHR completion record.
