Training records and certificates

When a training is done, the record matters as much as the session. In ZeniaHR, HR marks an enrolment complete and ZeniaHR records the completion, issues a unique certificate number and, when the program has a validity, sets the certificate's expiry date that many months ahead. Each enrolment keeps its status, so the program page always shows who has finished and who has not, and the completion figures update at once.

How it works

  1. Open the program in Learning. The Enrollments list shows each person with a status badge and progress.
  2. When someone finishes, press Complete on their row. Progress becomes 100 percent and the status completed.
  3. ZeniaHR issues a certificate number, confirms it on screen and shows a medal icon on the row.
  4. The certificate records the issue date and, if the program has a validity in months, an expiry date that many months later.
  5. The program's enrolled, completed and completion rate figures update straight away.

Why completion records matter

After an incident on the floor, the first question is whether the person was trained. During a buyer's audit, it is whether everyone in the unit was. A record with a date and a certificate number answers both, where a signature on an old sheet may not. For courses run by outside institutes, the provider's certificate is still the formal proof, so store it in the person's employee documents and keep the ZeniaHR record as the index that says who completed what and when.

Worked example: a forklift course and a fire drill

Anand drives a forklift at an electronics plant in Sriperumbudur. On Tuesday 10 March 2026 he finishes the external forklift operation course, valid for 24 months, and the same week the plant's fire safety session, valid for 12 months. HR presses Complete on both enrolments on 10 March.

ZeniaHR issues two certificate numbers. The forklift certificate expires on 10 March 2028 and the fire safety certificate on 10 March 2027. In February 2027 HR creates a new program, Fire safety refresher 2027, and enrols Anand and his shift, so the refresher is done before the first certificate runs out.

Planning refreshers around expiry

Press Complete on the day of the training, since the issue date, and so the expiry date, is the day completion is recorded. Keep a simple list of when each mandatory program's certificates fall due and set the refresher program up a month ahead. Because every person has one enrolment per program, a new round of the same training needs a new program with the year in its name.

Does ZeniaHR issue training certificates?

It issues a certificate record. When HR marks a training complete, ZeniaHR creates a unique certificate number with the issue date and, if the program has a validity, an expiry date. For external courses, keep the provider's own certificate in the employee's documents as well.

How is the certificate expiry date worked out?

It is the issue date plus the program's validity in months. A fire safety program valid for 12 months, completed and marked complete on 10 March 2026, gives an expiry date of 10 March 2027. A program with no validity issues certificates with no expiry.

How do I run a yearly refresher of the same training?

Create a new program for each round, such as Fire safety refresher 2027, with the same mode, hours and validity, and enrol the people due. Each employee has one enrolment per program, so a separate program keeps every year's completion and certificate on record.
