How it works
- HR adds each branch in Company Profile with a branch name, a short code and its location.
- Employees are placed in a branch, so branch-level rules and filters apply to them.
- Holidays can be set to apply to chosen branches only; leaving branches blank means everyone gets the holiday.
- Wall posts and announcements can go to chosen branches instead of the whole company.
- Payroll deduction rules, such as the loss of pay basis, can be overridden for a branch.
- A branch that closes is offboarded and archived, and it can be reactivated if it opens again.
What you can set
- Branch details: name, code and location.
- Branch actions: add, edit, offboard, archive, reactivate.
- Group companies: child companies under a parent, with HRMS Core data rolling up to the parent.
- Holiday applicability by branch.
- Wall audience by branch.
- Payroll deduction policy with branch overrides.
- Branch data scope in Access Control, so a role sees only its own branch.
Why branch set-up matters for Indian employers
Rules in India change at the state border. Regional holidays differ, professional tax slabs differ, and Shops and Establishments rules are state laws. A company with offices in Ahmedabad and Chennai cannot give both the same holiday list. Setting each location up as a branch lets HR apply the right holidays, send a notice only to the staff it concerns and let a branch HR person see their own people without seeing everyone else. See the Shops and Establishments guide for registration by state.
Worked example: a restaurant group across three states
A restaurant group has its head office in Mumbai and branches in Pune, Panaji and Bengaluru. HR adds Goa Liberation Day on 19 December for the Panaji branch only and Kannada Rajyotsava on 1 November for Bengaluru only, while Republic Day applies to everyone. A notice about a kitchen hygiene audit goes to the Pune branch alone. The Pune restaurant manager uses a role with Branch scope, so she sees Pune staff and nobody else. Finance keeps the company's loss of pay basis at a fixed 30 days but overrides it for the Panaji branch, which uses working days.
Setting up branches well
Get the branch structure right before loading people, because imports, holidays and access scopes all refer to branches by name. Changing branch names after staff, holidays and roles already point at them creates avoidable corrections across several screens and confuses the people who read the reports.
- Create branches before importing employees; the employee import matches the branch by name or code.
- Use the same branch names everywhere, including in holiday and employee files.
- Decide which roles need Branch scope before switching on access control.
- Offboard a closed branch rather than deleting it, so its employees' history stays.

Can ZeniaHR handle several branches in one account?
Yes. Branches are added under the company in Company Profile, and employees are placed in a branch. Holidays, wall posts, payroll deduction rules and data access can then differ by branch, while the Company Head and HR still see the whole company in one place.
Can a branch manager see only their own branch's employees?
Yes, once access control is on. Give their role the Branch data scope in Access Control, and the employee list, attendance punches, overtime, analytics, reports and the HR dashboard show only people in their own branch. Salary and bank fields can also be masked for that role.
Can each branch have its own holidays in ZeniaHR?
Yes. Each holiday in Holiday Calendars can apply to chosen branches and departments, and leaving both blank gives it to everyone. So Gujarat Day can apply to an Ahmedabad branch alone while Independence Day applies to every branch. Employees see only the holidays that apply to them.
What is a group company in ZeniaHR?
It is a separate company linked under a parent company, such as a second hospital run as its own legal entity. For HRMS Core, data from child companies and branches rolls up to the parent, so the group's HR team works in one place instead of logging into each entity separately.
