Org structure, reporting lines and org chart

ZeniaHR holds your organization in seven masters: departments, designations, grades, cost centres, locations, employment types and employee categories. Every employee is linked to these, and to a reporting manager and an HR partner. From the reporting lines ZeniaHR draws the org chart, decides who appears on each manager's My Team page and sends requests to the right first approver. Branches and group companies sit under one parent company, so HRMS Core data rolls up in one place.

Who uses it

HR teamKeeps the seven masters tidy, adds branches, links every employee to a department, designation and reporting manager, and fixes the broken reporting lines the org chart flags.
Company headSees the whole company on the org chart and decides in Access Control whether each role sees all data, one branch, one department or only its reporting line.
ManagersSee their full reporting line, direct and indirect, on My Team, get a morning summary of it and approve the first step of their direct reports' requests.
EmployeesGet the holidays and wall posts meant for their branch and department, and their requests go first to the reporting manager set on their record.

How the structure is built

Start in Settings, Organization. Each of the seven masters is a simple list of names with optional short codes, and entries you no longer use are archived rather than deleted, so old records keep their links. Seed from data creates masters from values your company already has and adds eight standard employment types. Then each employee's organization assignment links them to the masters and to a reporting manager and HR partner. The employee linkage panel shows how many people are linked for each master and how many still have the value only as typed text.

What the structure drives in the rest of ZeniaHR

The structure is not only there to draw a chart. Several everyday features read it directly, which is why a missing reporting manager or an unlinked department shows up quickly as a request that went to the wrong person or a holiday that did not apply.

Branches and group companies

A company can have branches, and a group can have child companies under a parent. For HRMS Core, branch and child-company data rolls up to the parent company, so HR sees one organization rather than separate islands. Branches are added in Company Profile with a name, code and location, and a branch that closes can be offboarded, archived and reactivated later if it reopens. Holidays, wall posts, payroll deduction rules and data access can all be set for particular branches.

Frequently asked questions

What is the difference between a department and a designation?

A department is the part of the company a person works in, such as Accounts or Production. A designation is their job title, such as Senior Accountant or Machine Operator. ZeniaHR keeps both as separate masters, with a grade master alongside, so reports can group people by where they work, what they do or their level.

What happens if an employee has no reporting manager?

Their leave, correction and other requests skip the manager step and go straight to HR, and they appear at the top level of the org chart. That is right for the company head, but for anyone else it usually means the record is incomplete. The org chart's Have a manager tile shows how many people are linked.

Can one company have several branches and group companies in ZeniaHR?

Yes. Branches sit under a company, and child companies sit under a parent, with HRMS Core data rolling up to the parent. Holidays, wall posts, payroll deduction rules and data access can be set per branch, so a multi-location employer runs one system instead of one per city.

Can I import departments and designations?

Yes. Data Import takes departments, designations and locations from Excel or CSV, with a name, an optional code and a description, and locations can carry address, city and state. Names already in your lists are skipped, so running the same file twice does not create duplicates.
