Probation extension and not-confirmed outcomes

Not every probation ends in a confirmation. Sometimes the manager needs two more months to decide; sometimes the answer is no. ZeniaHR handles both from the probation queue. An extension adds whole months to the current end date, records the reason, clears the old review so a fresh one is needed, and notifies the employee and manager. A not-confirmed outcome records whether the employment ends as Terminated or Resigned and closes the probation.

How it works

  1. From the person's row, choose Extend probation, pick 1 to 12 months and write the reason.
  2. The dialog shows the new end date, counted from the current end date, before you save.
  3. The earlier review moves to the probation history and the review status resets, so the manager reviews again before the new end date.
  4. The employee and manager are told the new end date, and the number of extensions is kept.
  5. For a no, choose Not confirmed, pick the outcome, End the employment (Terminated) or The person resigns (Resigned), and write the reason.
  6. Recording the outcome closes the probation and sets the status. The last day, the settlement and the exit checklist follow in the usual offboarding steps.

When to extend and when to decide

An extension is fair when the person joined during a slow season, changed roles midway or had a long illness, and the manager needs more evidence. It is unfair when it only postpones a decision already made. Remember what an extension keeps in place: the shorter probation notice, and any leave types blocked during probation. Two extensions in a row usually mean HR should step in. Read the probationer rights page, and check the notice and termination rules if continuous service is nearing a year.

Worked example: an extension that ends in confirmation

Amit Verma, a junior engineer at a Faridabad machining unit, joined on Monday 16 March 2026, so his probation ends on Wednesday 16 September. His manager rates him 2 of 5, Needs improvement, noting that he is still slow on the new programming work. HR extends by 2 months with the reason more time needed on programming, and the dialog shows the new end date of Monday 16 November.

The old review moves to history and the reminder for the new date goes out on 1 November. This time the manager rates him 4 of 5 and HR confirms on 16 November. Had the second review also been poor, HR would have recorded Not confirmed with the outcome Terminated, and offboarding would handle the last day, with his wages due within two working days of the exit.

Handling the conversation

Talk to the employee before you record anything. Write reasons an outsider could follow, such as targets missed in August and September, rather than attitude. Give the extended employee a clear list of what must change by the new date and send a letter from your HR letter library. For a not-confirmed exit, start the full and final settlement process the same day.

How long can probation be extended in ZeniaHR?

Does the manager need to review again after an extension?

Yes. Extending probation resets the review status, and the earlier rating stays in the probation history. The manager rates the person again before the new end date, and the reminder is sent for the new date just as it was for the first one.

What happens when an employee is not confirmed?

HR records the outcome, Terminated or Resigned, with a reason. That closes the probation, sets the status and takes the person out of the queue and the reminders. The exit itself, including the last working day, the exit checklist and the full and final settlement, then runs through the usual offboarding steps.

Is the employee told about a probation extension?

Yes. The employee gets a notification that the probation is extended, by how many months and to which date, and the manager is told too. HR should still speak to the employee first and share what needs to improve by the new date.
