How it works
- HR opens Shifts and Roster, clicks New rotation, gives it a name such as Two mornings, two evenings, two nights, two off, and picks the start date.
- Under Repeat these days, in order, HR adds shift codes and OFF days one by one to build the cycle. It needs at least one working shift.
- HR ticks the people on the rotation and sets how many days later in the cycle each next person starts.
- The form previews the first two weeks for every person, so gaps in cover show up before anything is saved.
- HR clicks Apply, picks a date range of up to 92 days, previews the result and applies it, replacing what was rostered on those days.
- With Keep days changed by an approved shift swap ticked, days that a swap changed stay as they are.
What you can set
- Cycle length: up to 62 days, made of shift codes and OFF.
- Start date: the day the cycle begins for the first person.
- Days between people: each next person starts 0 to 366 days later in the cycle.
- People on this rotation: chosen from the employee list with a search.
- Apply range: up to 92 days, with a preview before anything is written.
- Keep days changed by an approved shift swap: ticked by default.
- Archive a rotation: days it already put on the roster stay as they are.
Why rotations beat hand-made rosters
A supervisor filling a monthly roster in Excel for twenty people makes hundreds of choices, and one wrong cell leaves a night uncovered or gives someone a week without a day off. A rotation makes those choices once, in the cycle, and the stagger spreads people evenly across it. When someone joins or leaves the team, HR edits the list of people and applies the next quarter, instead of redrawing the whole month.
Worked example: eight technicians at a Baddi pharma plant
The utilities team at a Baddi pharma plant has eight technicians covering Morning, Evening and Night every day. HR creates a rotation with the cycle MOR, MOR, EVE, EVE, NGT, NGT, OFF, OFF, which is 8 days long, puts all eight technicians on it and has each next person start 2 days later in the cycle. With eight people and a 2-day stagger, every day has two technicians on each shift and two off.
HR applies it from 1 October to 31 December 2026, exactly 92 days, with Keep days changed by an approved shift swap ticked. Two technicians had already swapped nights on 9 October, and those two days stay as swapped. The apply covers 736 roster days, eight people for 92 days, less the two it keeps. In January HR adds a new joiner to the list and applies the next quarter.
Designing a fair cycle
A good cycle spreads nights and weekends fairly and never leaves anyone without rest. Draw it on paper first, count the people needed on each shift each day, then choose the stagger that spreads the team across the cycle evenly.
- Put days off straight after nights, so people recover before the next morning shift.
- Set the stagger to the cycle length divided by the number of groups you want, as with the 2-day stagger above.
- Apply a quarter at a time; 92 days is the limit and a practical planning horizon.
- Keep approved swaps when you reapply, unless you mean to reset the roster.

How do I create a rotating shift schedule in ZeniaHR?

What is a staggered rotation?
In a staggered rotation everyone follows the same cycle, but each person starts it a few days after the previous one. That spreads the team across the cycle, so on any day some people are on mornings, some on evenings, some on nights and some off, instead of the whole team moving together.
Will applying a rotation undo approved shift swaps?
Not if you keep the default. The apply step has a Keep days changed by an approved shift swap option, ticked by default, which leaves swapped days untouched. Untick it only if you want the rotation to overwrite every day in the range, swaps included.
