How it works
- The employee opens Shift Swaps, picks the date and sees the colleagues rostered that day, with their shift.
- The employee picks a colleague, optionally a second date to trade days, and gives a reason. The swap must be for today or a later date.
- The colleague gets an alert and accepts or declines. The requester can cancel while the request is open.
- Once accepted, the request goes to the requester's reporting manager and then to HR, on the usual approval chain.
- On the final approval, the two people's shifts are exchanged on the dates involved, and the roster marks those days as swapped.
- HR sees every swap on the swap desk, filtered by status, and decides the HR step there.
What you can set
- Same-day swap: two people trade their shifts on one date.
- Two-date swap: two people trade days, weekly offs included.
- The requester needs a rostered working shift on their date; the colleague may be on a shift or OFF.
- One open swap per requester per date.
- Statuses: Pending, Accepted, Approved, Rejected, Declined and Cancelled.
- A swap is never edited in place; cancel it and raise a new one.
- Alerts go to the people involved at each step.
Why swaps should go through the system
Informal swaps agreed on a WhatsApp group are common, and they break attendance. The roster says Meena is on Morning, Anjali turns up instead, so Meena looks absent and Anjali looks like she worked an unrostered day. A swap raised in ZeniaHR avoids that: the roster changes only after both people and both approvers agree, and attendance judges each person against the shift they actually worked.
Worked example: a two-date swap at a Bhopal hospital
Staff nurse Anjali Mishra at a Bhopal hospital is rostered on Morning, 7 am to 3 pm, on Friday 16 October and is off on Sunday 18 October. Her colleague Meena Patel is off on the Friday and on Morning on the Sunday. Anjali has a cousin's wedding on Friday, so she raises a two-date swap, her Friday for Meena's Sunday, with the reason 'Family wedding in Indore'.
Meena accepts the same evening. The ward in-charge, Anjali's reporting manager, approves the next morning, and HR approves an hour later. The roster now shows Meena on Morning on Friday and Anjali on Morning on Sunday, both marked as swapped. On Friday Meena punches in at 6:58 am and is on time against the Morning shift, and Anjali's Friday is a weekly off, not an absence.
Rules that keep swaps fair
Swaps work best when they are easy to raise and quick to decide. Agree who approves at the manager step, tell staff how fast they can expect an answer, and watch for people who swap far more often than their colleagues.
- Ask for swaps two or three days ahead, except in emergencies.
- Managers should check that a swap does not put anyone on two shifts back to back.
- HR should decide within a day, so the roster is final well before the date.
- Repeated swaps between the same two people may mean they need a different rotation.

How does a shift swap work in ZeniaHR?

Who approves a shift swap?
First the colleague, who must accept it. Then the requester's reporting manager and then HR approve, on the same fixed chain ZeniaHR uses for leave and corrections. If the requester has no reporting manager, the swap goes straight to HR once the colleague accepts.
Can I swap my weekly off with a colleague?
Yes, with a two-date swap. You give a colleague your working shift on one date and take their working shift on another date when you would have been off, so your weekly off moves. You need a rostered working shift on your own date, and the roster changes once your colleague, your manager and HR approve.
