Documents to collect from every joiner
Keep the core list short and the same for everyone, so recruiters can send it with the offer and joiners can gather the papers during their notice period. The list below covers identity, pay, statutory registration and proof of the history you relied on when hiring.
- Identity: PAN card and Aadhaar, or passport
- Address proof for the current and permanent address, if they differ
- A recent passport-size photograph
- Bank proof in the employee's own name: cancelled cheque or passbook first page
- Certificates and mark sheets for the highest qualification
- Relieving letter and experience letter from the last employer
- Last three payslips, where pay history was part of the offer discussion
- UAN, if the joiner was a PF member earlier
- Nominee details for PF and other benefits
- Signed copies of the offer letter and the appointment letter
Documents for particular roles and situations
Some roles need proof that the person is allowed to do the work. Drivers need a valid driving licence of the right class, nurses and pharmacists need their council registration, and accountants or lawyers may need membership numbers. Food handlers may need a medical fitness certificate under your local rules or company policy. Women employees who will work night shifts give their written consent, which is a condition for night work along with the safety conditions set by government; see the night shift rules. Fixed-term joiners sign their contract, and foreign nationals provide passport and visa copies.
When to collect what
Split collection into three moments. Before joining, collect what you need to create the employee record and pay salary: identity, address, bank and photo. On day one, see the originals, collect signed letters and nominee details. In the first week, collect the rest, such as certificates and previous employer letters. In a worked example, Priya joins a Bengaluru firm on 3 June, but her last employer issues the relieving letter only on 20 June. HR records it as pending with a due date of 30 June instead of holding up her joining.
Verify, store and protect
See every original, compare it with the copy, note who checked it and when, and return the original the same day. Holding original certificates as security against resignation is poor practice and a frequent source of disputes. Store scans in one secure place with access limited to people who need it, not in email threads or on a recruiter's phone.

Step by step
- Fix a document list by role family. Write the core list for everyone and add role-specific items such as licences or registrations. Get it approved once and use it for every offer.
- Send the list with the offer. Attach the list to the offer so joiners can gather papers during their notice period, including the relieving letter from their current employer.

What documents are required when joining a new company in India?
Most companies ask for PAN and Aadhaar or a passport, address proof, a photograph, bank proof, education certificates, the relieving and experience letters from the last employer, recent payslips, the UAN if the person was a PF member before, nominee details and signed copies of the offer and appointment letters. Some roles also need licences or registrations.
Can an employer keep an employee's original certificates?
It should not. HR should see originals for verification, keep scanned copies and return the originals the same day. Holding certificates to stop someone resigning or to force them to serve notice is poor practice, damages trust and often leads to complaints. Record who verified each document and when instead.
What if a joiner does not have a relieving letter yet?
Let the person join and record the relieving letter as pending with a due date, usually a few weeks after joining. Previous employers often issue it only after their own full and final settlement. Ask for the resignation acceptance email meanwhile, and follow up if the due date passes.
How should HR store employee documents securely?
Keep scanned documents in one secure system with access limited by role, not in email, shared drives open to everyone or personal phones. Record who verified each document, share files through links that expire, and hide bank and contact details from people who do not need them. Delete stray copies once the official record is complete.
