Employee self-service

My Self-Service is the page every employee lands on. It holds the day's punch card with live timers, the month's attendance with the rules explained in plain sentences, leave balances and applications with a preview of exactly what will be charged, corrections, work from home and on duty requests, holidays, comp-off, overtime, payslips and documents. The same features are in the employee app, so HR stops answering 'how many leaves do I have' on WhatsApp.

Who uses it

EmployeesPunch in and out, check their attendance and late marks, apply for and cancel leave, raise corrections and work from home requests, and download payslips.
ManagersUse the same page for their own attendance and leave, see a short My team now card, and act on their team's requests from My Team.
HR teamLinks each login to an employee record, sets the rules employees see, and handles the requests that reach the HR step after the manager.

One page for the whole working day

An employee's day starts on the today card: punch in, take a break, resume, punch out, with the worked and break timers running and the day's shift or weekly off shown alongside. The rest of the page covers the month. My attendance shows every day graded, with late marks, penalties and totals. Leave shows balances and applications. Attendance corrections, work from home and on duty requests, the holiday list with optional holiday picks, comp-off credits with their expiry, my overtime, payslip PDFs from payroll and documents follow, with a shortcut to shift swaps.

Self-service on the phone

Everything on My Self-Service is also in the employee app, with a few extras that only make sense on a phone. The app asks for a reason when someone punches out early, punches at a QR kiosk by scanning or typing its code, can tie punches to the person's approved phone, lets employees view nominees and add the first one, and lets them ask HR to correct a profile field they cannot edit. Requests raised in the app follow the same rules and approvals as on the web.

Where requests go

Leave, attendance corrections, work from home, on duty and shift swaps all follow the same fixed chain: the reporting manager first, then HR. Managers decide on My Team, and the approval engine lets each person act only at their own step. Employees see the status of each request on My Self-Service, and a request raised for a month that HR has already finalized is refused, with a message asking them to contact HR.

What can employees do on My Self-Service?

They can punch in and out with break timers, see their graded attendance with late marks and the rules in plain sentences, check leave balances, apply for leave with a live preview, cancel leave, raise attendance corrections and work from home or on duty requests, pick optional holidays, see comp-off and overtime, and download payslips and see their documents.

Do employees need a separate login for self-service?

Each employee needs a ZeniaHR login linked to their employee record. Once HR links it, the page fills in automatically with that person's shift, attendance, leave and payslips. Until the link is made, the page shows a clear message asking the employee to contact HR.

Can employees see how their attendance is calculated?

Yes. When attendance rules are on, the page lists the rules in force as plain sentences, such as the grace time, the late mark rule and what a missing punch-out costs. The month strip shows present, half, absent and payable days with late marks and any penalty days, so each deduction can be traced.

Can a company switch off employee self-service?

No. My Self-Service is always on for an HRMS Core company and is where employees land after signing in. What it shows follows the company's settings, so features that are switched off, such as the roster or overtime, simply do not appear.
