How to confirm an employee after probation

Confirmation turns a probationer into a confirmed employee. It usually changes the notice period, may start benefits your policy links to confirmation, and closes the trial period both sides agreed to at joining. Because it matters to both sides, it should be a clear, written decision made on time, not something that happens by default when nobody remembers the date. This guide covers the steps, the letter and the records to update.

What changes when an employee is confirmed

Confirmation is more than a status change. Check the appointment letter and your policies for everything tied to it, and make sure each change actually happens on the effective date. Missed changes surface months later, usually when someone resigns and the notice period is disputed.

Deciding on time

Work backwards from the end date. In a worked example, Kavya joins a Jaipur hotel as a front office executive on 1 January with a six-month probation ending 30 June. HR asks her manager for the review on 1 June. The manager rates her and meets her by 15 June. HR records the decision on 20 June and issues the confirmation letter on 28 June, effective 1 July. Nobody waits, and Kavya hears the news before the end date, not weeks after it.

What the confirmation letter should state

Keep the letter short and specific. It is a document the employee may need for a home loan, a visa or a future employer's verification, so it should state facts clearly. Formats are available in the HR letters library. Send it before or on the effective date, never weeks after, because a late letter leaves the employee unsure which notice period applies.

Records to update after confirmation

Update the employee record with the confirmed status and date, the post-confirmation notice period, and any pay change. Check leave rules that depend on probation, so the employee can now apply for leave types that were blocked. Add the employee to the next performance cycle. Finally, tell the team. A short note from the manager recognizing the confirmation costs nothing and matters to the person.

Step by step

What is confirmation of employment?

Confirmation of employment is the formal decision, at the end of probation, that the employee has met the expectations of the role and becomes a confirmed employee. Should every employee get a confirmation letter?

Yes, issue one in every case. Even where the appointment letter treats confirmation as automatic, a letter gives the employee proof of status for loans, visas and future verification, and it fixes the date from which the post-confirmation notice period applies. It also closes the probation record clearly for HR.

Does salary increase after confirmation?

Not automatically. A pay change at confirmation happens only if the offer, appointment letter or company policy promises one. Many companies instead review pay in the next annual cycle. If there is a change, state the new monthly gross and effective date in the confirmation letter.

What if the manager does not complete the probation review on time?

HR should escalate to the manager's own manager a week before the end date. If the review still does not come, HR must decide whether to confirm on available evidence or extend briefly with a reason, but should never let the date pass silently. Repeated delays are a performance issue for the manager.
