Map each team's peak against the crop calendar
Different teams peak at different times, so one company-wide leave freeze is too blunt. Write each team's windows into the leave policy at the start of the year and review them if the monsoon arrives early or late. Share the windows with staff as well, so they can plan weddings and family events around them.
- Seed and crop protection sales: April to June for kharif, September to November for rabi
- Procurement teams: October and November for kharif crops, March and April for rabi
- Grape pack houses in Nashik: roughly January to April
- Agronomists: sowing and the key pest stages of each crop
Worked example: leave by rota during sowing
A cluster of 8 field officers faces a six-week kharif sowing window with six-day weeks, which is 36 working days. If one officer at a time may be away, the cluster can release 36 officer-days of leave. Giving each of the 8 officers 4 days uses 32 of them and keeps 4 days in reserve for emergencies. The area manager draws up the rota in May, officers pick their slots around their own family sowing dates, and requests outside the rota wait. Everyone gets some time for the family farm, and the cluster is never two people short.
Festivals that fall in the season
Many harvest festivals, such as Baisakhi, Pongal, Onam and Bihu, fall in or near a peak. Staff often add earned leave to the festival holiday to travel home. Decide how the sandwich rule treats a weekly off or holiday between two leave days, test it on a real Baisakhi request in the leave preview, and tell staff the result before the season, not after they apply.
Comp-off after the harvest, and sick days in the field
Procurement staff often work Sundays at collection centres during harvest. HR credits comp-off for each worked weekly off, with an expiry that allows the days to be taken once the crop is in. Sick leave needs field sense too: a field officer with heat exhaustion, a snake bite or signs of pesticide exposure should rest without argument, and a note from the nearest primary health centre should count as the medical document.
