Field officers: the first village visit starts the day
Farmers are free early in the morning and again in the evening, not at noon. Many agri companies give field officers a split day, such as 7 am to 12 noon and 4 pm to 7 pm, eight working hours in all. Which farms were visited and what was advised belongs in the company's field reports, not in attendance. Phone binding means a colleague cannot punch in for someone still at home.
Pack houses and collection centres
Seasonal workers at a pack house punch at the gate, either on a biometric device that sends punches over ADMS or by scanning the kiosk tablet's QR code with the app. Collection centres deep in the countryside often have neither reliable power nor signal, so the centre in-charge keeps a signed muster, and HR loads it through Excel attendance import at the end of each day or week. Either way, the punches and the imported rows end up in one record, and payroll reads nothing else.
Rain days, heat days and floods
Write the rule before the monsoon. A common version: when the India Meteorological Department issues a heavy rain or heat wave warning for the district, field visits stop for that day. Field officers who spend it on farmer follow-up calls and report updates raise a work from home request, and those who cannot work at all take casual leave. In July, a Vidarbha cluster might lose five field days to rain: three logged as work from home for calls and two as leave. If monsoon months regularly exceed the monthly work from home limit, raise the limit in the work terms policy rather than marking honest people absent.

Closing the month cluster by cluster
Before month close, each area manager checks the absence grid for their clusters, day by day, and confirms that missed punches have been corrected. Late marks on warning days are waived with the reason written down. For pack houses, the supervisor checks that seasonal workers who joined or left mid-month show the right dates. After that the month is locked for payroll by HR; anything found later is fixed by reopening it with a stated reason, never by a quiet edit.
