Training for co-operative society staff

Co-operative staff often join with little formal training in banking or dairy work, and many learn on the job from colleagues. That works until a cash shortage, a badly documented loan or a contaminated milk batch shows what was missed. A training plan covers the skills each post needs, the rules members and regulators expect staff to follow, and safety in plants, with refreshers on a fixed cycle and records that show the board and auditors who has been trained.

Skills for credit society staff

Branch staff need cash handling and counterfeit note detection, KYC documents for members and nominees, loan appraisal and documentation, recovery procedures that stay within the law and the society's rules, and the society's software. Branch managers also need training on reading overdue reports and on the powers and duties set out in the bye-laws. State co-operative training institutes and district co-operative unions run many of these courses; record each one attended, with its dates and certificate.

Plant hygiene and safety in dairies

Dairy plant and collection staff need training in milk testing, hygiene and cleaning procedures, and food safety practices for everyone who handles milk. Plant operators need safety training on boilers, ammonia refrigeration and electrical systems where they operate them, along with fire drills and first aid. Tanker drivers need road safety and safe loading and unloading. Many of these carry certificates with validity periods, so record the validity and plan refreshers before expiry.

Refreshers, POSH and board reporting

Repeat cash, KYC and safety training on a fixed cycle, such as every year or two, and whenever rules or equipment change. POSH awareness, with the Internal Committee's details, belongs in every staff member's training. Some boards ask for a training summary at the AGM or in the annual report; a record of programmes, hours and completions makes that a quick export rather than a search through old circulars.

How to set it up in ZeniaHR

  1. In Learning, create programmes for cash handling, KYC, loan appraisal, recovery procedures, milk hygiene, plant safety, first aid and POSH.
  2. Mark cash handling, KYC, plant safety and POSH as mandatory for the posts that need them, with a validity in months that matches your refresher cycle.
  3. Record courses at co-operative training institutes as external programmes with their hours, and enrol the staff who attend.
  4. Mark completion when certificates are received, so each one gets a certificate number and an expiry date.
  5. Before the AGM and the audit, check each programme's compliance view to show who is trained, pending or expired.
