Structure: basic, site allowance and the half rule
Site postings bring allowances that office roles do not get: a site allowance, a remote area allowance for difficult locations, and sometimes a free camp in place of HRA. These can quickly outgrow basic pay. The Code on Wages sets a floor: basic pay and DA together must make up half or more of total remuneration, and any allowance beyond that line is added back into wages for PF, gratuity and bonus. A site engineer on ₹60,000 gross with a basic of ₹24,000 and no DA is ₹6,000 short of half, so ₹6,000 is added back and the wage base becomes ₹30,000.
Camp, mess and other recoveries
Where the company runs a camp and mess, many EPC firms recover a fixed monthly mess charge, while others deduct nothing and treat the camp as part of the posting. Either way, write it into the posting letter and keep it within the limits on deductions from wages. HR enters recoveries each month as deduction inputs, and salary advances taken for travel or family needs go in as advance recovery. Reimbursements for approved travel, such as the fare for a home leave journey, are added by HR as earnings, because expense claims are settled outside payroll.
Mid-month transfers across states
An engineer moved from the Panipat site to a site in Odisha on the 16th spends half the month under one posting and half under another. Record the transfer and any salary revision with the same effective date. Whether the old and new allowances are split by days for that month is a policy decision; if you split them, enter the difference as an arrears or adjustment input. Paid days still come from the finalized attendance month, bounded by joining and exit dates. Check which state's professional tax applies for the transfer month under both states' rules.
Closing payroll across many sites
Set a calendar and hold every site to it, working back from the 7th, the deadline for paying monthly wages. Payslips carry employee PF, ESI where it applies and professional tax, and the employer's PF share appears split into EPS and EPF. Use payment batches, moving from draft to approved to paid, so accounts releases the bank transfer only after HR's run has been sealed.
