Payroll for hotels and resorts

Hotel payroll covers many departments with one set of rules: salaries structured to satisfy the wage rule, paid days from the finalized attendance month, overtime from banquet nights, recoveries for staff housing where they apply, and seasonal staff joining and leaving mid-month at resorts. A group with properties in several states also handles state professional tax. Everything has to reach bank accounts by the 7th of the following month.

A structure that meets the wage rule

A front office associate's ₹21,000 gross might split as Basic ₹10,500, HRA ₹4,200 and Special allowance ₹6,300. The Basic half is deliberate. The Code on Wages requires basic pay and dearness allowance together to make up at least half of total remuneration, and any allowance above that line is treated as wages for PF, gratuity and bonus anyway. Direct Payroll applies the company's percentages to every employee's monthly gross, so the whole property follows one pattern. Where accommodation is provided free, some hotels pay a lower HRA; decide that by policy and apply it evenly.

Seasonal staff paid by days

At a resort, seasonal staff join through the season's first weeks and leave at its end. Payroll takes their days from the finalized attendance month and never pays for dates before joining or after exit, so nobody works out part-month salaries by hand. On a fixed 30-day basis, a steward on ₹21,000 who joins on 11 November is paid for 20 days: ₹21,000 / 30 x 20 = ₹14,000. Fixed-term staff hold full employee status, so PF, ESI and professional tax apply to them just as to permanent staff wherever the rules cover them.

Housing, meals and other deductions

Many hotels house staff free and feed them in the staff cafeteria, and then nothing needs deducting. Where a property does recover a charge for quarters, agree the amount in writing at joining, check what the Code on Wages permits under deductions from wages, and enter it each month as an adjustment. Salary advances go in as advance recovery, and any damage recovery needs the same legal check first. Show each recovery as its own payslip line, since staff living on site compare payslips over dinner.

Overtime, bonus and the monthly close

Approved overtime reaches payroll as an earning at gross day rate / 8 x hours x multiplier, so banquet nights are paid in the same month they were worked. Statutory bonus is often paid before Diwali through a separate bonus run, and the bonus rules decide who is eligible and how much. Deductions on each payslip cover PF, ESI and the professional tax of the property's state, and the employer's PF, divided between EPS and EPF, sits alongside employer ESI. Each run passes through draft and review before it is finalized, after which it is sealed and read-only.

Can a hotel deduct accommodation charges from salary?

Only in the way the law permits. Agree any charge for staff quarters in writing when the employee joins, check the deductions allowed from wages under the Code on Wages, and show the recovery as its own line on the payslip. Many hotels provide housing free, which avoids the question entirely.

How are seasonal hotel staff paid?

Like any employee, for the days they are on the rolls. Pay is worked out from the finalized attendance month and bounded by the joining and exit dates, so a mid-month joiner is paid from the joining date. As fixed-term employees they hold full employee status, and PF, ESI and professional tax apply wherever the rules cover them.

When is statutory bonus paid in hotels?
