Leave management for FMCG distributors

Leave at a distributor has one rule everyone understands: nobody goes on leave in the last week of the month, when targets close. Beyond that, a salesman's leave leaves a beat unserved and orders lost, so cover matters more than the balance. A workable policy freezes leave in the month-end push and the festival stocking weeks, arranges beat cover before approving, and gives comp-off to godown staff who unload on Sundays.

The month-end freeze

Principal companies close targets on the last day of the month, and the final week brings the heaviest billing, loading and delivery. Write it into the leave policy: casual and earned leave are not approved in the last seven days of the month except in emergencies. Add the festival stocking weeks, when retailers load up for Diwali, and for beverage or ice cream distributors the summer months as well. Put the dates up on the Company Wall as an announcement every employee must acknowledge, so nobody books a wedding trip for the 28th.

Cover the beat before approving

When a salesman is on leave, his beat's retailers still expect a visit. Before approving, the sales supervisor decides who covers: a reliever salesman, the supervisor himself, or two neighbouring salesmen splitting the outlets. A 7-day notice rule on earned leave gives the supervisor time to find cover, and a maximum spell keeps absences within what a reliever can carry. Quotas and the legal floor

Keep the leave types simple. ZeniaHR's starting quotas are 1 day of CL, 1.5 days of EL and half a day of SL for each month, all editable. The OSH Code sets the floor for annual leave: one day for every 20 days worked once a worker has put in 180 days in the calendar year, carry forward up to 30 days, and encashment of unused leave at year end if the worker asks. Delivery and godown workers often do ask, and the leave ledger turns an encashment into a payroll earning.

Comp-off for Sunday unloading

Company trucks do not always arrive between Monday and Saturday. When godown staff unload on a Sunday or a holiday, HR grants them a comp-off for that day, and each credit expires, for example after 30 days, so it is taken in the first half of the next month, well before the month-end push. Loaders find their credits in the mobile app and use them as they would any leave balance.

How to set it up in ZeniaHR

  1. Keep the default CL, EL and SL quotas in the Leave Ledger or edit them, and allow encashment where workers ask for it at year end.
  2. Give earned leave a notice period and a maximum spell, so supervisors can arrange beat cover in time.
  3. Set a comp-off expiry, such as 30 days, and grant comp-off to godown staff after any Sunday or holiday unloading.
  4. Publish the month-end freeze and the festival stocking weeks on the Company Wall, with acknowledgement required.

Do godown staff get comp-off for working on Sundays?

Yes, when Sunday is their weekly off and they are called in to unload or load. Grant a comp-off credit for the day that lapses after a few weeks if unused. Any hours past the normal shift that day also earn overtime at double the ordinary rate of wages.
