Leave management for diagnostic labs

In a lab, one approved leave can close a collection centre. Many centres run with a single phlebotomist in the morning, and some sections of the processing lab have only one person trained for a test. Good lab leave policy ties every approval to cover: a floater for the centre, a cross-trained technician for the bench, notice for planned leave, restrictions in the fever season and comp-off for Sunday camps.

Leave cover for one-person centres

Keep a floater pool of phlebotomists who are not tied to one centre and who fill in for leave, weekly offs and sudden absences. When a centre phlebotomist applies for EL, the area supervisor books a floater for those dates first and approves second. The Leave Calendar, filtered to the collection department, shows approved and pending leave in different tints, so the supervisor sees clashes across centres before saying yes. ZeniaHR does not assign the floater automatically; the supervisor does that on the roster.

Worked example: sizing the floater pool

Twelve centres open seven days a week, each with one morning phlebotomist. Each phlebotomist has 52 weekly offs and takes about 30 days of leave a year, so each centre needs cover on 82 days, or 984 days across the 12. A floater is available for 290 days a year: 365 less 52 weekly offs less 23 days of her own leave. 984 divided by 290 is 3.39, so the lab needs four floaters, and the spare capacity covers sudden sickness, camp days and a new centre's first weeks.

Fever season restrictions

Dengue, malaria and typhoid testing climbs from July to October in much of India, and home collection bookings climb with it. Rather than banning leave, tighten the EL rules before the season: a longer notice period, such as 21 days, and a lower maximum spell, such as 5 days. Relax them again in November. Keep CL and SL open for emergencies, explain the reason on the Company Wall, and give people who worked through the season first choice of leave in November and December.

Comp-off for camps and Sunday runs

Corporate health camps, housing society camps and school check-ups often fall on Sundays or holidays. Staff who work them on a weekly off or holiday earn comp-off, credited from the worked day, and HR can grant it by hand for camps that were not rostered, such as half a day for a morning camp. Every credit carries an expiry, so ask supervisors to plan comp-offs into the following weeks rather than letting them lapse.

Sick leave and needle-stick exposure

Phlebotomists and technicians handle blood and swabs every day, and a needle-stick injury can mean days of follow-up and treatment. Keep SL simple: a medical certificate after two days, and allow SL during probation. Some labs grant paid special days for post-exposure treatment so staff report injuries without worrying about their balance; HR can record those as a credit adjustment in the Leave Ledger, which keeps the history traceable.

How to set it up in ZeniaHR

  1. Edit the default CL, EL and SL types in the Leave Ledger to match your lab's quotas, and import opening balances with Data Import.
  2. Tighten EL notice and the longest allowed spell in the leave rules every June, and loosen them again in November.
  3. Set SL to need a document after two days and allow it during probation.
  4. Make each area supervisor the reporting manager for their centres, so leave reaches them first and HR second.
  5. Let comp-off credit from worked weekly offs and holidays, grant camp comp-offs by hand, and set an expiry.
  6. Ask supervisors to check the Leave Calendar for the collection department before approving any leave.
