Employee documents for hotels and resorts

Hotel staff enter guest rooms, handle guest data and cash, and work around food, pools and electrical plant, so their files carry more than ID and bank details. Keep verification and certificates for each role, record expiry dates, and store seasonal contracts with their end dates. Then give heads of department a view of what matters for their team without opening salaries.

What each hotel employee's file needs

Everyone needs identity and address proof, PAN, bank proof, photos, education and hotel management certificates, previous employment letters and the appointment letter. Add police verification where your policy asks for it for staff with room or cash access, which covers front office, housekeeping, bell desk and in-room dining. Staff living on site add their quarters allotment, and fixed-term seasonal staff their contract with its end date clearly stated.

Role certificates with expiry dates

Do hotels need police verification for staff?

Many hotels run police verification for staff who enter guest rooms or handle cash and guest data, and some cities ask for it. Check the local requirement for your property, write your own rule into the onboarding policy, and keep each verification report in the employee's file with the date it was done.

Which hotel staff need certificates on file?

Kitchen and F&B staff need medical fitness certificates, pool attendants need lifeguard and first aid certificates, engineering staff need the trade licences your state requires, and drivers need valid driving licences. Record the expiry date of each and review them monthly, since a lapsed certificate is a risk to guests.

How should hotels store seasonal staff contracts?

Keep each fixed-term contract in the employee's documents with its end date, next to the appointment letter. At the end of the season, the contract end date drives the exit and the settlement. Keep good seasonal staff in the previous employees list, so rehiring them next season is quicker.
