HR challenges in IT and software companies
Hybrid attendance that proves something
A policy of three office days a week is only as good as the data behind it. HR needs to tell office days, approved work from home and client-site days apart, and show project managers who is actually following the hybrid rule, without making engineers fill in a register.
Shift timings set by the client
A team serving a London client starts around 1 pm, and one serving a US East Coast client logs in at 6:30 pm. A single company-wide 9:30 am start makes all of them look late. When US or UK clocks change, the overlap moves by an hour and the roster has to move with it.
Bench and project movement
When a project ends, engineers move to the bench and then to a new account with a new reporting manager. Leave and work from home approvals, goals and probation reviews must follow the person to the new manager on the day of the move, or requests sit with someone who no longer manages them.
Leave around releases and client holidays
Go-live weekends, code freezes and the client's Thanksgiving or Christmas shutdown all change when leave can sensibly be taken. Delivery managers need to see the whole team's approved and pending leave before saying yes to one more request in release week.
Certifications and client compliance
Clients ask for proof of background verification, signed NDAs, security awareness training and current cloud certifications before giving an engineer access to their systems. When a certificate or a yearly course lapses unnoticed, the account can fail a client audit.
Long notice periods and knowledge transfer
Notice periods of two or three months, buyouts and early release requests make the last working day a moving target. Knowledge transfer, laptop return and removal of client access all have to finish before the full and final settlement is paid.
Salary structures under the wage definition
IT offers have often carried a low basic and a large special allowance. Under the Code on Wages, basic plus DA must be at least half of total remuneration, so allowances above that line count as wages for PF, gratuity and bonus. See the wage definition rule.

What should an HRMS for an IT company handle?
It should handle hybrid attendance, client-aligned shifts, leave approvals by project managers, city-wise holiday lists and payroll with PF, ESI and professional tax. ZeniaHR covers these with office network rules for web punches, work from home requests with a monthly limit, Shifts & Roster for UK and US timings, and Direct Payroll. Project timesheets for client billing stay in your delivery tools.
Can ZeniaHR track work from home days for a hybrid IT team?
Yes. Set the default work model to hybrid with office days in the work terms policy, along with a monthly WFH limit. Engineers raise work from home requests in My Self-Service or the mobile app, and managers approve them in My Team. Web punches can be limited to your office networks, so office days and home days are recorded differently.
Does ZeniaHR track billable hours or timesheets?
No. ZeniaHR records attendance, breaks, leave, work from home and overtime, not hours booked to client projects. IT firms usually keep timesheets in their project tool and use the attendance day log, which downloads as CSV, to check that billed days match the days people actually worked and the leave they took.
How do IT companies keep track of certifications that expire?
They record each certification with its validity and review renewals every month. In ZeniaHR, the Learning module gives each program a validity in months and issues a certificate number with an expiry date on completion, and vendor certificates uploaded to employee documents carry their own expiry dates, so lapses show up before a client audit does.
