Mandatory courses clients and auditors ask for
Client contracts and security audits commonly ask for information security awareness, data privacy, acceptable use and code of conduct training, often renewed every year. Create each as a mandatory program in the Learning module with its hours and a validity of 12 months. When an engineer completes it, ZeniaHR issues a certificate number with an expiry date, and the compliance view per program shows who has completed, who is in progress and whose enrolment has expired. Before a client audit, that view is the list you send.
Cloud and technology certifications
Certifications such as AWS, Azure, Google Cloud, Kubernetes, ISTQB and Scrum help sales win accounts and help engineers get allocated. They are earned outside the company, so record each as an external program with its validity, and upload the vendor's certificate to the employee's documents with its expiry date. Link them to learning goals in the performance cycle. If the company pays the exam fee, HR adds it as a reimbursement input in payroll, since there is no separate expense claim workflow.
Fresher training batches
Campus hires usually go through structured training before joining a project: programming basics, the company's technology stack, tools and a small capstone project. Set it up as a classroom or blended program with its hours, for example 10 weeks of 5 days at 8 hours, which is 400 hours, and enrol the whole batch together. Mark completion when a trainee clears the final assessment. Tie the probation review to that result, so a trainee who fails the assessment is extended with a reason rather than confirmed by default.
Renewals before they lapse
A lapsed certificate matters most on the day a client asks for it. Set validity months on every program so enrolments show as expired when the date passes, and review upcoming expiries each month with delivery managers. Plan renewals a quarter ahead for engineers on accounts that require a named certification, and give study time on the roster instead of expecting weekend preparation.
How to set it up in ZeniaHR
- In Learning, create mandatory programs for security awareness, data privacy and code of conduct with a 12-month validity.
- Add external programs for cloud and technology certifications with their hours and validity in months.
- Enrol engineers by project or by fresher batch, and mark completion when the course or exam is cleared.
- Upload vendor certificates to employee documents with expiry dates so both records match.
- Review the compliance view per program every month and again before each client audit.

Which certifications are useful for IT employees?
It depends on the role: AWS, Azure or Google Cloud certifications for infrastructure and developers, Kubernetes for DevOps, ISTQB for testers, and Scrum or PMP for project managers. Choose the ones your clients ask for or that open new accounts. Track each with its validity so renewals are planned before they lapse, not discovered during a bid.
What training is mandatory in IT companies?
The list is usually set by client contracts and company policy: yearly information security awareness, data privacy and code of conduct training, along with POSH awareness sessions. Client-specific courses are added per account. Record each as a mandatory program with a 12-month validity, so renewal dates are tracked rather than remembered.
How do you track certification expiry for employees?
Give each certification a validity period and record the completion date, so the expiry date follows. In ZeniaHR, marking a program complete issues a certificate number with an expiry date, enrolments show as expired once the date passes, and certificates uploaded to employee documents carry their own expiry dates.
