Notice periods that match the floor
Long notice periods do not work for floor roles. A common policy is 15 days during probation and 30 days after confirmation for pickers, packers and loaders, with longer notice for shift in-charges and inventory executives. ZeniaHR's work terms policy holds notice days in probation and after confirmation, with overrides by grade. Recording a resignation sets the last working day and moves the person to on notice, so the roster and payroll both know when they leave.
When a picker simply stops coming
Absconding is the most common exit on a warehouse floor. Follow the process in your standing orders: after the set number of days of unexplained absence, send a letter to the addresses on file asking the person to report or explain, and wait for the period stated. If there is no reply, record the exit with the matching exit reason from the 20 structured reasons. Do not hold back wages as a penalty. Once the exit is recorded, dues must be paid within two working days, like any other exit.
Handing back the scanner, card and locker key
Work through ZeniaHR's 8-item exit checklist and add the items specific to your site. The handheld scanner and access card come back first, then the locker key and ID card, then any uniform your policy asks to be returned. Recoveries for items not returned are deductions from wages, so check the rules on deductions before making them.
Final settlement for a seasonal picker
Suresh worked a fixed term from 1 September to 15 November on a gross of ₹17,400. On a calendar-day basis his November day rate is ₹580 (₹17,400 / 30). For 1 to 15 November, including his paid weekly offs, he is due 15 x ₹580 = ₹8,700, plus ₹1,160 of approved overtime, a total of ₹9,860 before PF, ESI and professional tax. Add any leave encashment due. Fixed-term employees are entitled to gratuity pro rata, without the five-year minimum, so include it where it applies. Pay through an off-cycle run within two working days of 15 November, and keep him on the previous list with a note if you would hire him again.
