Holiday calendar for pharmaceutical companies

A pharma company with a plant in Gujarat and MRs in 15 states cannot run one holiday list. The plant follows its own state's festivals and keeps utilities and QC running on holidays, while each MR observes the holidays of the headquarters state, when clinics and chemists close anyway. Good practice publishes a plant list, one list per state for the field force, and a holiday duty roster for the teams that never fully stop.

Field holidays follow the headquarters state

An MR in Kolkata needs the Durga Puja days, one in Chennai needs Pongal and one in Guwahati needs Bihu. Doctors' clinics and chemist shops close on those days, so calls are not possible anyway. Create a holiday list for each state and apply it by the MR's headquarters location. Republic Day, Independence Day and Gandhi Jayanti sit on every list, and area managers who cover two states follow the list of their own base.

Plant holidays and what keeps running

When the plant closes for a festival, some systems cannot. HVAC for stores and stability chambers, purified water loops and environmental monitoring often continue, and stability samples have pull dates that do not move for Diwali. A plant holiday is really a reduced roster, planned by name weeks ahead and paid or compensated as your policy says.

Timing shutdowns with maintenance and requalification

Pharma plants often join a festival break to a planned shutdown for preventive maintenance, HVAC filter changes and requalification. The days before and after are heavy for engineering and QA, who must finish their checks before production restarts. Announce the shutdown with the production plan, confirm under your standing orders whether shutdown days are paid holidays or leave, and give engineering staff their comp-off after the restart, not in the middle of it.

Optional holidays at the plant and head office

A plant in Ahmedabad may offer optional holidays for Uttarayan, Eid, Christmas and Paryushan and let staff pick two a year. Field staff rarely need optional days because their state list already reflects local festivals, but plant and head office staff who moved from other states do. Set a pick limit and close choices by January so QA and QC managers can plan shift cover early.

How to set it up in ZeniaHR

  1. In Holiday Calendars, create the plant list and one list per state for the field force, marking national, regional and religious holidays.
  2. Apply each state's list to the branches or locations where MRs are based, so every MR sees only the headquarters holidays.
  3. Enter paid shutdown days as company holidays on the plant branch alone, so the field force calendar stays as it is.
  4. Roster utilities, QC and microbiology staff for holidays in Shifts & Roster, and set the holiday multiplier or comp-off in the Overtime policy.
  5. Set an optional holiday pick limit for plant and head office staff, and check the picks report before finalizing shift cover.

Frequently asked questions

Which holiday list should a medical representative follow?

An MR should follow the holiday list of the state where the headquarters is, because clinics and chemists close on local festivals. National holidays apply everywhere. Create one list per state and assign it by location, so an MR in Chennai sees Pongal and one in Kolkata sees Durga Puja without HR sending separate circulars.

Do pharma plants work on holidays?

Production usually stops, but some work continues: HVAC and water systems, stability sample pulls, environmental monitoring and security. Those staff are rostered by name for holiday duty and paid extra or given comp-off as your policy says. Where the work runs beyond the prescribed hours, it is overtime and is paid at twice the ordinary wage rate.

How should a pharma plant plan a festival shutdown?

Announce the dates along with the production plan, confirm under your standing orders whether the days are paid holidays or leave, and roster the engineering and QA staff who will carry out maintenance and requalification during the break. Give their comp-off after the plant restarts, once the checks are complete.
