Leave types that suit plant and field
Plant workers earn leave under the rule for workers: one day for every 20 days worked once they complete 180 days of work in a calendar year, with carry forward capped at 30 days. General shift staff and the field force usually get casual, sick and earned leave under company policy. Keep the list short, allow half days for casual leave, and use leave without pay only once balances run out. Maternity leave of up to 26 weeks applies after 80 days of work in the preceding 12 months.
Protecting audit and campaign days
Some dates are known months ahead: a USFDA or WHO-GMP inspection window, a customer audit, a validation campaign or a product launch. Treat these as protected days only for the roles that must be present, such as QA, QC and production heads and the officers who hold key documents. Announce them early, and approve leave for everyone else as usual. A blanket leave ban for the whole plant during audit week is unnecessary and quietly resented.
Minimum cover in QA and QC
Production needs an IPQA officer on every shift, and the micro lab needs someone to read plates and run environmental monitoring over weekends. Before approving leave, the QA manager checks the leave calendar for the dates. Take a plant with three production shifts and one IPQA officer per shift. With 5 IPQA officers and staggered weekly offs, 4 or 5 are available on any day and 3 are needed, so only 1 or 2 can be on leave that day without pulling someone from documentation.
Field force leave and the sales cycle
MRs are measured on monthly and quarterly sales, and the last week of the month is when stockist orders are closed. Companies usually ask MRs to avoid planned leave in closing week and around cycle meetings, where new product strategy is briefed, and to apply for earned leave at least two weeks ahead. Sick leave and emergencies still go through with the area manager's approval, and the area manager plans who covers key doctors.
How to set it up in ZeniaHR
- In Leave Applications, set notice days for earned leave, a document after 2 days of sick leave, and which leave types are allowed in probation.
- In the Leave Ledger, set monthly accrual for CL, SL and EL, and cap carry forward at 30 days for plant workers.
- Publish the audit and campaign calendar on the Company Wall so staff see protected dates before they apply.
- Ask QA and QC managers to check the Leave Calendar filtered by department before approving; HR approves after the manager.
- Let HR grant comp-off to analysts and engineers who work weekends for audits or utilities, with an expiry date.
- In Leave rules, pick the sandwich mode that fits your policy and decide whether holidays count like weekends.

Can a pharma company restrict leave during regulatory audits?
Companies commonly ask key roles, such as QA, QC and production heads, to avoid leave during a known inspection or audit window. Announce the dates early, apply the restriction only to roles that must be present, and keep sick leave and emergencies open. Write the practice into your leave policy so it is applied the same way each time.
How much leave do medical representatives get?
It depends on company policy. MRs usually get casual, sick and earned leave like other staff, plus the holidays of their headquarters state. The difference is timing: companies ask MRs to plan leave outside the closing week of the month and cycle meetings, and to apply early so the area manager can arrange cover for key doctors.
How is comp-off given to QC analysts who work weekends?
When an analyst works a weekly off or holiday for stability testing, environmental monitoring or an audit, HR grants a comp-off credit to be used within a set period. In ZeniaHR, comp-off is earned from worked weekly offs and holidays, granted by HR and lapses on expiry, and the balance shows with the analyst's other leave.
